Who can do what in the TMS
The TMS has no separate user list. It follows the roles of your Quanty organization: a viewer reads, a member does the daily work and an admin also sets the TMS up. On top of that, an admin can limit a member to some TMS modules (Dispatch, Finance, Fleet), so a forwarder can work on orders without touching invoices, or an accountant can book payments without changing the fleet.
Before you start
- People join the organization and get their role in the organization settings, see Organizations & roles. The TMS reads the same role.
- The TMS add-on belongs to the whole organization. Every member of an organization with the add-on can open the TMS; there is no per-person TMS seat.
- Only an organization admin changes roles and TMS modules.
The three roles
| Role | In the TMS |
|---|---|
| Viewer | Sees every page, list, card and report, prints and exports. Changes nothing: buttons that change data are hidden or say View only. |
| Member | The daily work: quotes, orders, planning, documents, pallets, contractors, invoices, costs, payments, the fleet and people. Resolves and dismisses issues. |
| Admin | Everything a member does, plus the TMS settings and the steps below that the pages mark as an admin's. An admin always has every TMS module. |
Steps only an admin takes
| Area | Admin steps |
|---|---|
| Settings | Every pane of TMS settings: automatic actions, company and numbering, branches, documents and costs, dunning, credit limits, absences, diets and trips, road cards and bonuses, own fleet cost, orders from e-mail, dictionaries. See TMS settings. |
| Connections and data | API keys and webhooks, TMS modules of members, creating the Tables in Quanty and switching their sync, loading and removing sample data, Fetch now for a connected Marcos TMS. |
| Credit and contractors | Templates of limits, permissions to go over a credit limit and revoking them, recording an insurer's decision, letting a blocked client through for one order, deleting a contractor, switching off the account check when adding a bank account. See Credit limits and blocks. |
| Money | Reopening a cost already handed to accounting (with a reason), deleting a recorded payment, undoing a set-off, creating and editing cash desks. |
| Fleet and people | Deleting vehicles, drivers, equipment, policies, deadlines, tyres, service orders, fleet costs, stock items and handover protocols; reopening a road card; anonymising a driver or a contact person. |
| Pallets | The pallet settings and channels (see Pallets overview). |
A member who opens one of these sees it greyed out or read-only, often with "Only an organization admin changes these settings."
TMS modules
A member can be limited to some parts of the TMS. Limits are about saving only: "They can still read everything. Modules limit saving changes only."
| Module | What it covers |
|---|---|
| Dispatch | Orders, order templates and orders from e-mail, planning and dispatch, tracking and routes, quotes, places, contract rates, documents, links for carriers and clients, pallets, claims, and contractors (everything except their money fields). Creating a carrier together with its bank account stays here. |
| Finance | Invoices and invoice settings, carrier costs and cost types, payments and transfer batches, the bank and the cash desk, credit limits and templates, receivables, dunning and reminders, factoring, the accounting export, KSeF and payment terms. On a contractor's card: its credit fields, documents, insurer decision, one-off unblocks, VAT white list check, bank accounts and its factor. |
| Fleet | Vehicles, vehicle damages, drivers and people, driver links, the workshop and the parts store, fuel, tyres, sets, trips, diets and settlements, driver pay and road cards, advances, absences, equipment and handovers, deadlines and policies, posting and the mobility package, tachograph files. |
Some changes belong to no module, so every member can make them: your own saved views and column layouts, your own reminders, printing and opening files, and resolving or dismissing issues.
Limit a member
- Open Settings, Organizations, Members. With the TMS add-on, the list has a TMS modules column.
- Click the member's cell. Change TMS modules opens with What they can change in the TMS.
- Tick All, or any of Dispatch, Finance and Fleet.
- Click Save.
| The cell reads | Meaning |
|---|---|
| all | A member with every module. Every member starts like this until an admin limits them. |
| Dispatch, Finance (the ticked ones) | A member limited to those modules. |
| none | A member with no module: they can read the TMS but save nothing in it. |
| all (administrator) | An admin. "An administrator always has every module." |
| view only | A viewer. "A person with view-only access changes nothing, so modules do not apply." |
Ticking all three modules saves as all, so a module added to the TMS later is included too. Every change of modules is recorded with the member's name and the modules in words.
What a limited member sees
A member who tries to save outside their modules gets the app's plain answer and nothing changes:
| Module | Message |
|---|---|
| Dispatch | "You do not have access to the Dispatch module. Ask an administrator." |
| Finance | "You do not have access to the Finance module. Ask an administrator." |
| Fleet | "You do not have access to the Fleet module. Ask an administrator." |
| Any other part | "You do not have access to this part of the TMS. Ask an administrator." |
The assistant in chat follows the same modules: outside them it answers with the same sentence and shows no approval card (see TMS in chat).
Example
Magda works on orders and carriers: Dispatch. Piotr books invoices and payments: Finance. Both still open every order and every invoice, so Piotr sees why an invoice waits for a CMR, and Magda sees whether her client paid. Neither can change the other's part.
View only
The whole TMS turns read-only for everyone in two cases, and nothing is lost:
- The organization's plan is unpaid. The TMS rail shows View only: "TMS can only be viewed right now. Nothing is lost." with Open billing for those who can manage the plan. Once the plan is paid, everything works again. See Billing & credits.
- You are a viewer, or your organization is read-only: pages show the View only note: "You can look at everything here, but changes are off for your role or for this organization right now."
Without the TMS add-on, a TMS page shows TMS: all of your transport in one place with Ask about TMS, and the TMS row is not in the sidebar.
Good to know
- Modules do not hide anything. A limited member still sees prices, margins and invoices, and so does a viewer: no role hides the money in the TMS. A person who must not see money at all should not be in the organization.
- Links for carriers, clients and drivers are made by members with Dispatch (carriers and clients) or Fleet (drivers). See TMS links.
- Removing someone from the organization ends their access to the TMS too.
