The orders list

Sales, Orders is where every order lives: the ones on the road, the ones waiting for documents or an invoice, the drafts to accept and the cancelled ones. The same orders can be read as a List (a table you can arrange like a spreadsheet), a Board (a column per status) or a Calendar (by loading day). This page explains each view, the filters, your column layout, and how to export or print exactly what you see.

Before you start

  • Your organization has the TMS add-on. Open Sales, Orders in the TMS rail.
  • Everyone in the organization can see the list, export it to Excel and print it, and arrange their own columns. Creating orders, dragging on the board and issuing invoices need a role that may change TMS data (see TMS modules). Viewers see "View only".

The page at a glance

Sales, Orders in the List view.
The orders list: the List, Board and Calendar switch, the tabs In progress, Awaiting documents, To invoice, All, To accept and Cancelled, the search and filters, and orders with number, status, client, route, loading, unloading, execution, freight, margin and documents

The header has New order with its menu (see Creating an order) and the ⋯ menu with Templates, Download Excel (with the number of orders next to it) and Print the list. The view switch List | Board | Calendar leads the toolbar; the address of the page keeps the view, the tab, the search, the filters and the sort, so a link you copy opens the same list for a colleague.

List

Tabs

TabWhat it holds
In progressConfirmed, Planned and In progress orders. The page opens here.
Awaiting documentsDelivered orders and orders at Documents.
To invoiceDelivered orders and orders at Documents whose documents are complete or not required.
AllEvery order except cancelled ones.
To acceptDrafts, with Drafts and Inbox for orders from e-mail (see Orders from e-mail).
CancelledCancelled orders.

Each tab shows its count. A status filter narrows a tab but never widens it.

Number, reference, client, carrier, plate or city searches the order number, the client's reference and order number, the carrier's reference, the route, the client and carrier (name, short name and aliases), the tractor, trailer and carrier plates, and each stop's city, postal code and company. Press / to jump into the field.

Filters

Filter adds a filter; each active filter shows as a chip you can change or remove.

DocumentsMissing, Partial, Complete, Not required.
IssuesWith open issues or Without open issues.
TagsTags of the orders shown.
Vehicle groupOnly when your organization has vehicle groups.
Order kindOnly when your organization has order kinds in Dictionaries.

A vehicle group or order kind chosen in a link or saved view that no longer exists stays as a chip, for example "Curtainsiders (no longer exists)", which you can remove.

The date filter

Pick a preset (Today, Tomorrow, This week, Next week, This month, Last month; weeks run Monday to Sunday) and, under Which date, the date it reads:

Date typeWhich date
LoadingThe first loading (the default).
UnloadingThe last unloading.
CreatedThe day the order was created in Quanty.
InvoiceThe issue date of the order's invoice (a draft invoice does not count).
ReceivedReceived on: the day the order came in.
ConfirmedThe day it was confirmed.
DeliveredWhen it was really delivered: the last unloading's departure, else its arrival; never the plan.

A range of your own comes from a link or from a day clicked in the Calendar; it shows as a chip, for example "Loading 01.10 to 31.10", with Remove the date range. The Excel file and the printout follow the same date type.

The table

The columns shown at first are Number, Status, Client (with its reference under it), Route, Loading and Unloading (with the stop's company under each), Execution (plates and driver, or the carrier and its plate), Freight, Margin and Documents.

  • Number carries the open-issues badge, a mark for an order read by AI, the chip from e-mail, and Already in Marcos for a draft that came in twice.
  • Execution shows Waiting for the carrier on a carrier order that was sent and not answered yet.
  • Margin shows "estimate" for an own-fleet order with an estimated cost, and "·" while the cost is not known ("Margin unknown until the cost is in").
  • A row is tinted by its order's worst open issue: red for a critical one, amber for a warning. A cancelled order is dimmed.
  • The footer reads "Total: 312" with the sums of the freight, the cost and the margin in PLN.
  • Fifty rows load at a time; Load more brings the next ones. The list is sorted by loading date, newest first; click Number, Status, Client ref., Created, Loading, Unloading or Freight to sort by it.

Your column layout

Table display (the button at the right of the toolbar) arranges the table:

Columns, groups and the filter row.
Table display with the Columns panel: the columns to show and drag, Column groups, Filter in columns and Back to the default layout
  • Row height: Standard or Compact. It is kept in this browser and applies to every TMS list.
  • Columns…: show, hide and drag columns (Find a column searches them). Besides the default ones you can add Client ref., Client order number, Client's city, Received on, Created, Loading references, Stops, Distance, Loaded km, Empty km, Carrier, Carrier's city, Carrier reference, Trailer type, Temperature, ADR, Payment days, Cost, Invoice, Invoice date, Payment, Carrier invoice, Carrier payment, Carrier paid on, Handled by and Tags.
  • Column groups: a row of group headings over the columns: Order, Client, Carrier, Execution and Settlement.
  • Filter in columns: a filter row under the headings. Text columns take a word ("Filter…"); Payment offers Paid, Partly paid, not due yet, Not paid, not due yet, Overdue and No issued invoice, and ADR offers With ADR and Without ADR. A filter on a column you then hide stays and shows a chip ("Filter in a hidden column: Payment").
  • Back to the default layout undoes your changes.

Drag the right edge of a heading to change the column's width (with the keyboard: the arrow keys, Shift with the arrows for bigger steps, Home or a double-click for the default). Your layout (columns, their order and widths, the groups row and the filter row) is kept for you on the server, follows you to another browser, and is never shown to a colleague. In an organization that is read-only because of an unpaid subscription, a change lasts until you leave the page.

The side panel

Click a row to open the order in the side panel; j and k move to the next and previous row while it is open. Double-click a row or press Enter to open the full order card. Ctrl+click (Cmd+click) opens it in a background work tab.

The side panel: the order without leaving the list.
The side panel of an order: route, money, execution, required documents and issues, with the next status step and Open order

The panel shows Route, Money, Execution (or Not assigned yet), the required Documents (Required, In, Missing) and Issues (or "No open issues."). For people who may change orders it also has the next step (Start transport, Mark delivered, Wait for documents or Mark settled), Confirm order on a draft, Issue invoice at Documents, and Assign on a draft, confirmed or planned order (it opens the order at Execution). Open order opens the card.

Selecting rows

Tick rows with their checkboxes (or x or Space on the focused row). A bar appears:

The selection bar.
Two orders ticked and the selection bar: Selected: 2, Issue invoice, Only the selected, Export CSV and Clear the selection
ButtonWhat it does
Issue invoiceOpens a new invoice for the ticked orders that can be invoiced (not drafts, not cancelled, not No invoice). See TMS invoices and receivables.
Only the selected / All rowsNarrows the list to the ticked rows, and back.
Export CSVDownloads the ticked rows as a CSV file (semicolons, decimal commas) with a fixed set of columns.
Clear the selectionUnticks everything.

Saved views

Saved views keeps the search and the filter chips (with the date type) under a name, for example "My orders this week". Views are yours and kept on the server; Share with the team puts one under Team views for everyone. A view does not change your column layout or the filter row.

Board

Board: a column per status.
The orders Board: columns Confirmed, Planned, In progress, Delivered, Documents and Invoiced with order cards

The Board shows the orders as cards in the columns Confirmed, Planned, In progress, Delivered, Documents and Invoiced; settled and cancelled orders are not on it. Each card shows the order and its loading day, "Loading 04.11.2026" (or No loading date). A column shows 25 cards and Show more (25 of 61).

  • Drag a card to another column to move the order there. Only the steps the order may take are open; the other columns dim while you drag.
  • Dropping on Planned an order with no vehicle and no carrier opens Who takes 2026/11/014?: "An order is planned once it has a vehicle or a carrier. Choose one and the order moves to Planned." Choose Own fleet with the tractor, or Carrier, and click Assign and plan. Busy vehicles are named ("Busy in this window: …").
  • Drafts adds a column of drafts: "Show the drafts column. A draft is confirmed inside the order, not by dragging it."
Planning from the board.
The dialog Who takes the order: own fleet or carrier, the tractor, and Assign and plan

Calendar

Calendar: the orders of a month by loading day.
The orders Calendar: a month with one bar per order from loading to unloading in its status colour

The Calendar shows a month with one bar per order from the first loading to the last unloading, in its status colour: "One bar from loading to unloading. A click on a day lists its orders." It always reads the loading date, leaves out drafts and cancelled orders, and shows the first 200 orders of the month ("Showing the first 200 of 340 orders. Narrow the filters to see the rest.").

Click a day to switch to the List, tab All, with that day's loadings.

Excel and printing

⋯, Download Excel and ⋯, Print the list (in the List view) take exactly the list on screen: the same tab, filters, filter row and sort, the columns you show in their order, and every row, not only the loaded ones. Headings are in your language.

  • Excel: a totals row; amount columns split into the amount, the currency and the PLN value; text that a spreadsheet would run as a formula written as text. Up to 20 000 orders. Above 2 000 orders the file is prepared in the background ("Preparing the Excel file (orders: 4 812). It downloads by itself when it is ready…"); you can keep working, one such file per person at a time.
  • Print the list opens a printable page (A4 landscape) with a totals row, up to 2 000 rows.
  • A longer list asks you to narrow it: "The list has more than 20 000 orders. Narrow it (a date range, a client) and try again."
  • If the browser blocks the new window: "The browser blocked the new window. Allow pop-ups for Quanty and try again."

Good to know

  • Links from My work and the overview (for example "Waiting for documents") open the list already filtered.
  • The empty list offers New order and Import from Excel. With filters on and nothing found: "Nothing matches these filters".
  • A long filter keeps the old rows on screen under a progress line until the new ones arrive.
  • Totals are in PLN, so orders in different currencies add up.
