TMS pallets

Operations, Pallets keeps the pallet exchange: "Pallet exchange by truck and partner". Every loading and unloading where pallets change hands is an entry, and the balances of every truck and every partner follow from the entries by themselves, so nothing is counted twice and nothing is kept in a separate spreadsheet.

The page has the tabs Calendar, To check, To do and Balances. The Automatic button next to them opens the pallet settings.

The calendar

The calendar looks like the one you kept by hand: trucks in rows, days in columns, by week, two weeks or month. Each truck's row shows its empty pallets: a surplus (the driver carries more empties than he should and can give them back) or a shortage (he has too few and should collect some), counted from confirmed entries.

Other views of the same entries: Trucks by days, Sheet, Board and Month. Search by truck, driver, company or order, and show only what is To check, No receipt, Discrepancies, Planned or Test.

Adding entries

  • Add entry: one entry by hand, for a truck, a day, a partner, the pallet type and what happened.
  • Type or paste entries: one line per entry, in any order, for example PO 2LT90 08.10 r. 20 EP Mleczarnia. You can also paste a piece of your old calendar from Excel. Quanty shows a preview and adds what you tick (Ctrl+Enter), up to 300 entries at once.
  • Log a call: write down what a driver told you on the phone.
  • Other ways to add: Add a receipt from disk, Import your old calendar (.xlsx or .ods), or Create from TMS orders: planned loadings and unloadings from the orders of a period. Planned entries count in no balance until they are confirmed.

The pallet types are Euro pallets (EP), CHEP, DPL, H1, Gitterbox and other pallets. Damaged pallets on a loading or unloading are pallets that arrived on your truck and that the other side refused.

Receipts from drivers

A driver sends a photo of the pallet receipt (a CMR, a Palettenschein or a short text such as "r. 33 EP") on WhatsApp or by e-mail. Automatic, What happens when a driver writes shows the steps, each with its own switch:

  1. The driver writes on WhatsApp, or by e-mail. Quanty knows who sent it by the phone number (or e-mail) on the driver's card. A driver without a number can pair himself through a link you send him.
  2. Quanty saves the message and photos in Files, in the Pallets folder. Messages from unknown numbers, and texts that say nothing about pallets, wait under skipped messages.
  3. AI reads the receipt, straight away. Short texts are read by rules, at no cost. With AI reading off, photos wait for you to read them.
  4. It is matched to the calendar: the same truck and pallet type, within two days, and the order number. It completes a planned entry or adds a new one.
  5. Who confirms the entry: Always me (the entry waits until you confirm it, one by one or all the sure ones at once), or By itself, when the receipt matches. Automatic confirmation is off by default and only applies when everything agrees; an entry confirmed that way can be undone.

Optional steps: Reply to the driver (WhatsApp only; each reply is a paid WhatsApp message of about 7 credits, at most one per driver every 10 minutes), and The AI Secretary does not answer receipts, which keeps the AI Secretary quiet when a driver sends one. See WhatsApp.

Try it without a driver

The Tests section of the pallet settings, and Test message (simulation), send test messages through the same steps. Test messages carry a TEST mark and never count in balances, reminders or reports, and an admin removes them with Delete test data.

To check and To do

  • To check lists the drivers' messages that wait: the photo, what AI read, how sure it is, and differences with the order. Confirm, correct or reject each one (a rejected message adds nothing and keeps your reason). Entries added without a receipt photo (a quick entry, an import, a call) can be confirmed here too.
  • To do lists Discrepancies to sort out (for example the receipt says 27 and the order 33), Missing receipts (the exchange happened, the photo has not come) and Suggestions for the next routes: give pallets back, collect them, or balances that cancel out. Remind sends the driver a WhatsApp asking for the receipt photo, and Remind everyone does it for all of them at once. When WhatsApp cannot be used (no number, the driver has not written for more than 24 hours), Quanty gives you the text to send from your phone.

Balances

Balances shows the state on a chosen day: what partners must give back to you, what you must give back, the surplus and shortage on trucks. Which entries count chooses Confirmed only or With pending.

  • Each partner reads in words, for example "Partner X owes us 12 EP" or "settled".
  • Balance history (open a truck or a partner) lists the entries a balance comes from, newest first.
  • Set stock writes what a truck has on a given day, and Quanty adds the difference as an opening-stock correction.
  • Settle a partner records that pallets came back or that you settled in money.
  • Names and duplicates fixes a partner's name or merges two names of the same company.
  • Compare with the sheet reads your own pallet calendar (.xlsx or .ods), works out its balances and compares them with Quanty's for the same days. Nothing is saved.
  • Export downloads the entries for Excel, and Copy the day summary copies a short report.
