Quotes and lanes

Sales, Quotes holds the prices you give before a client says yes. A quote has the client, the route, the cargo and the price, and Quanty can suggest that price from the distance, your own cost per kilometre and what the lane paid before. When the client accepts, one click turns the quote into an order, so nothing is typed twice. Lanes, on the same page, shows what your orders really earned on each lane.

Before you start

  • Your organization has the TMS add-on. Open Sales, Quotes in the TMS rail.
  • Everyone in the organization can open quotes and lanes. Creating, sending and changing quotes needs a role that may change TMS data: a member with the Dispatch module, or an admin (see TMS modules). Viewers do not see New quote.
  • The price suggestion is better with data behind it: clients and saved places with addresses, confirmed orders on the lane, and fleet costs with kilometres from telematics. It works without them too, only with less to go on.
  • A Minimum rate per km in TMS settings, Documents and costs puts a floor under every suggestion (optional, set by an admin).

The quotes list

Sales, Quotes: one row per quote.
The quotes list: the Quotes and Lanes switch, the status tabs with counts, the filter bar and quotes with their number, status, client, route, loading, price, valid until and owner

The toolbar starts with a switch, Quotes | Lanes. With Quotes chosen you see the status tabs, each with its count:

TabWhat it holds
To sendNew quotes not sent yet. The page opens here.
SentSent quotes waiting for the client's answer.
WonQuotes the client accepted; each has its order.
LostQuotes the client turned down. Their rows are dimmed.
ExpiredQuotes still open (to send or sent) whose Valid until date has passed. Its count is amber.
AllEvery quote.

Search by number, client, reference or city also finds words in the quote's notes. The filters are Client, Owner (with Mine first), From and To (the countries of the first loading and the last unloading) and Validity (Still valid or Past the date). Saved views keeps a search and filters you use often.

The columns are Number (for example OF/0012/10/2026), Status, Client (with the client's reference under it), Route, Loading, Price (with the rate per km under it), Valid until and Owner ("You" for your own). The table display menu adds Contact person, Distance, Estimated cost, Expected margin (for quotes priced in PLN: the price minus the estimated own cost), Sent, Decided and Created.

Valid until turns amber when two days or fewer are left ("ends today", "in 2 days") and red once the date has passed ("past the date"). Won and lost quotes have no clock.

Click a row to see the quote in the side panel (Route, Price and dates, Cargo, the notes, why it was lost and its order); j and k move to the next and previous row. Double-click a row, or press Enter, to open the quote. N starts a new quote.

Creating a quote

  1. Click New quote (or press N).
  2. Fill in the sections below. The quote is valid for 7 days unless you change Valid until.
  3. Click Calculate price if you want a suggestion, then Use the price you choose.
  4. Click Save (or press Ctrl+S, Cmd+S on a Mac).
A quote is built from the same blocks as an order.
One quote: the Client, Route, Cargo and requirements, Price and Notes for the client sections, with the Summary on the right and the Send button in the header

Client

FieldWhat it meansExample
ClientWho asks for the price. Search by name or tax number, or Add a new client. Required.Mleczarnia Gądki
Contact personWho gets the quote e-mail. No contact person is allowed.Anna Kowalska
Client reference"The number of the request, if the client gave one".RFQ-2026-118
Valid untilThe last day the price holds. The quote is valid on that day itself.09.11.2026
OwnerWho handles the quote. You, by default.Kasia Próbna

Route and cargo

The Route and Cargo and requirements blocks are the ones the order form uses: loading and unloading stops with their dates, windows and goods under each loading, and the trailer, temperature and requirements. They are described in Creating an order. Everything you enter here goes into the order when the quote is won.

Price

FieldWhat it meansExample
PriceThe net price you offer. Required before you can send the quote.1 450
CurrencyEUR, PLN, CZK, GBP, CHF, SEK, NOK, DKK, HUF, RON or USD. Your organization's default currency to start with.EUR
Distance"Filled in when the route or the price is calculated". You can type it.1 120 km
Rate per kmThe price divided by the distance, shown for you.1,29 EUR per km

Notes for the client

"Terms the client should see: payment, waiting time, what the price includes". They are kept on the quote for you and your colleagues; the e-mail text Quanty prepares does not include them, so paste them into your e-mail if the client should read them.

On the right, Summary shows the price, the rate per km, the valid-until date, when the quote was sent and decided, "You have unsaved changes." when there are any, Why it was lost, the Order from this quote and the History. Until the client and the price are filled in, it lists what is missing: "Choose the client." and "Enter the price."

The price suggestion

Price suggestion: "Quanty checks the distance, your own cost per km and what this lane paid before, then suggests a price range. You decide."

Calculate price: a range with its reasons.
The price suggestion of a quote: distance, road tolls, own cost per km, past orders on the lane, the lowest price, Low, Middle and High prices each with Use, where it comes from and the last orders on the lane
  1. Fill in the client and the stops (with addresses or saved places).
  2. Click Calculate price. A new or changed quote is saved first.
  3. Read the facts and the range, open Where it comes from for the reasons, and click Use next to the price you want. It goes into Price ("In the quote"). Click Save to keep it.

The calculation uses no AI and no credits. It can be repeated with Calculate again after you change the stops.

What it looks at

FactWhere it comes from
DistanceIn this order: the truck route through the stops (when every stop has a map position), the km typed as entered on the quote, the average of past orders on the lane, or a distance estimated from a straight line between the stops (times 1.25).
Road tollsAn estimate for the route.
Own cost per kmYour fleet costs of the last 90 days divided by the kilometres your own vehicles drove with telematics. This run costs us is that rate times the distance. Without fleet costs or kilometres: "no fleet costs or km yet".
Past orders on the laneOrders of the last 12 months from the first loading to the last unloading: first between the same postal areas (the first two characters of the postal codes), else between the same country pair. Only confirmed orders and later count, never drafts or cancelled ones.
Clients paid per km / Carriers cost per kmThe averages of those orders, weighted by kilometres. Carrier cost counts only orders driven by carriers.
Lowest priceYour Minimum rate per km times the distance, or "no minimum rate set".

How the range is set

The Middle price comes from the first of these that is available:

BasisMiddle priceThe reason line
A contract rateThe client's contract rate for the lane, as one price marked From the client's contract, with no low or high."From the contract with the client: … on …"
Lane historyWhat clients paid per km on the lane, times the distance."The middle price follows what clients paid on this lane and never goes under your cost or your minimum rate."
Own costYour own cost for the run plus 15%."With no lane history the middle price is your own cost plus 15%."
Carrier costThe usual carrier cost on the lane plus 12%."The middle price is the usual carrier cost on this lane plus 12%."
Average freightWithout a distance: the average freight of past orders on the lane."Without a distance the middle price is the average freight of past orders on this lane."

Low is 5% under the middle, but never under your own cost plus 5% and never under the lowest price; if that pushes it above the middle, the middle is raised too ("The price was raised so it stays above your cost and your minimum rate."). High is 8% over the middle. The range is shown in the quote's currency at the NBP rate of the loading day; when that rate is missing, in PLN.

A contract rate is used when the client has a rate card for the lane (see Contract and rates). A rate per km uses the distance; a rate per pallet, loading metre or tonne uses the quantity of the goods. Last orders on this lane lists the five latest orders behind the figures.

Warnings

  • "This price is below your minimum rate of 1,10 EUR per km. On this distance the lowest price is 1 232 EUR." The quote can still be saved and sent.
  • "Part of the data was missing (a currency rate or the truck route), so treat the range as approximate."
  • "Some stops have no map position, so the route was not calculated." Pick saved places or find the address.
  • "There is not enough data for a suggestion yet: no distance, no past orders on this lane and no own cost per km. Add the stops with their addresses and calculate again."

Sending a quote

  1. Click Send in the header (a quote To send needs a client and a price above zero).
  2. The quote is saved if needed and marked Sent, and E-mail for the client opens: "The quote is marked as sent. Copy the text into your mail program."
  3. Pick the Language of the e-mail (Polish, English or German), then Copy subject and message (or copy each with Copy).
  4. Paste it into your own mailbox and send it.
Quanty prepares the text; you send it.
E-mail for the client: To, the language switch, the subject and message with Copy buttons, and the note that Quanty does not send this e-mail

"Quanty does not send this e-mail. Send it from your own mailbox, so the client answers you directly."

  • To: is the contact person's e-mail, or the client's e-mail when the contact has none or is archived ("no e-mail address on the contact" when nothing is known).
  • The language is the contact's language, else the one that fits the client's country: Polish for Poland, German for Germany, Austria and Switzerland, English for the rest. You can switch it.
  • The subject reads "Quote OF/0012/10/2026: Gądki to Lyon". The message lists the route, the loading date, the cargo, the trailer, the client's reference, the net price and the valid-until date, signed with the owner's name and your company.
  • The first send time is kept. To see the text again later, use Show the e-mail text in the menu next to the next step (the arrow beside the header button) of a sent quote.

The client answers

Won: turn it into an order

Turn into an order (the header button of a sent quote, or the menu next to it on a quote to send) creates a draft order and opens it, and the quote becomes Won. The order takes the client, the contact person, the client's reference, the branch, the owner, the price as its freight, the distance as its loaded kilometres, the stops, the goods and the requirements. The notes for the client stay on the quote. Check the draft and confirm it (see Creating an order).

Clicking twice opens the same order, never a second one. A won quote then shows Open the order and can no longer be changed: "This quote was won and has an order. It can no longer be changed; copy it to quote the same transport again."

Lost

Mark as lost (in the menu next to the header button) opens Mark the quote as lost: "The quote moves to Lost and can no longer be changed. The reason helps when you price this lane again." Why was it lost (optional), for example "the client chose a cheaper carrier", is shown on the quote afterwards.

Expired

A quote to send or sent reads as Expired from the day after its Valid until date, without anyone doing anything. An expired quote cannot be sent or turned into an order ("This quote is past its date. Set a new "Valid until" date first."). Set a later date and save: the quote goes back to Sent (if it was sent) or To send.

Other actions

Action (the menu next to the header button)What it does
DuplicateA new quote with the same client, route, cargo and price, valid for 7 days from today, without a number until you save it. Use it to quote the same transport again after a won or lost quote.
Delete the draftOnly for a quote never sent: "The draft quote is removed. This cannot be undone." A sent quote is marked as lost instead.
Show the e-mail textOpens the e-mail of a sent quote again.

Lanes

Lanes (the switch at the start of the toolbar): "What your orders really paid on each lane. Use it when you price the next request."

Lanes: what each lane really paid.
Lanes: one row per lane with the number of orders, client price and carrier cost per km, margin, quotes won, trend, average km and last order
ColumnWhat it means
LaneFrom where to where: two countries, or two postal areas.
OrdersConfirmed orders on the lane in the period.
Client price per kmWhat clients paid per kilometre.
Carrier cost per kmWhat carriers cost per kilometre, on orders they drove.
MarginThe margin on the lane.
Quotes wonFor example "3 of 5": won quotes out of the quotes sent on the lane.
TrendPrices are going up, Prices are going down or Prices are steady: "The last 3 months against the 3 months before" (a change under 1% is steady). too few orders when there is not enough to compare.
Average kmThe average distance of the orders.
Last orderThe date of the latest order.
  • Group by: Countries (the default) or Postal areas (the first two characters of the postal code).
  • Period: 3, 6, 12 or 24 months; 12 by default.
  • Search lanes: country, postal code, town, and the filters From, To and Client.

Click a lane to open Orders on the lane with the Average freight and the orders of the period ("Orders from the last 12 months"), each with its carrier and the carrier's rate ("Carrier Trans-Pol, 1,05 EUR per km") or Own fleet.

The orders behind a lane.
The orders of one lane: the average freight, the client price and carrier cost per km, and the list of orders with their carriers

A new organization sees "No lane history yet": "Lanes appear once orders with a loading and an unloading place are confirmed. The more orders, the better the price suggestions."

Good to know

  • Quote numbers follow the pattern OF/0001/MM/YYYY and are given when the quote is first saved.
  • A quote is valid on its Valid until day and expires the day after. Quanty checks open quotes about every 15 minutes.
  • Calculate price is a help, never a rule: you can type any price, also below the suggestion or the minimum rate.
  • Prices in the lane figures are the PLN values frozen on the orders, so a currency change does not move old orders.
  • The sidebar badge on Quotes counts the quotes waiting for an answer.

Who can do this

Viewers open quotes and lanes and change nothing. Creating, sending, pricing and deciding quotes belong to the Dispatch module when an admin limited a member's TMS modules.
