Pallet settings and tests

The Automatic button in the header of Pallets opens the pallet settings: "What happens when a driver writes, and the other settings". Here you decide which channels Quanty reads, whether the AI reads receipts, who confirms the entries, when a missing receipt is chased, the pallet types you use, and you try everything without a real driver.

This page goes through every section and switch with its default, the tests, the TEST mark and how test and sample data are removed.

Before you start

• Everyone can open the settings and read them. Only an administrator changes them: the switches, the reply text, the reminder days, the general settings, the channels and the test numbers. Others see the controls greyed out with "Only an administrator can change this."
• Members can run a test message, a test from their own phone and the pairing links.
• A small dot on Automatic ("Settings: something needs setting up") means something stops receipts from arriving.

The sections

The settings have five sections on the left (a row of buttons on a phone):

Automatic: what happens when a driver writes

"The driver sends a photo of the receipt or a short text. Quanty does the rest, you only confirm. Every switch saves at once." Each change shows a toast with Undo.

At the top:

• A status: Works (a channel works), To set up (something blocks receipts, or no channel works yet) or Switched off (both channels are off and no WhatsApp number is connected). With a number connected, switching Reading WhatsApp off counts as blocking: the status reads To set up and the dot appears on Automatic.
• Last 24 h: "12 messages to the number, 10 taken, 3 waiting for you, 4 confirmed by themselves".
• Try it: Test with your phone, Send a test e-mail and Test message (simulation) (see Tests).

Then the steps:

Below the steps, Skipped messages (admins only) opens the messages that were not taken, with their reasons, Take it anyway and Assign to a driver (see Skipped messages). The foot says when the last message arrived and when the last receipt was taken.

What the replies cost

A reply to the driver and a reminder are ordinary paid WhatsApp messages: about 7 credits each. Receiving messages is free. Reading a photo with the AI uses AI credits, the same as any AI reading in Quanty. See WhatsApp, What it costs and Billing.

Drivers

Drivers and their phones: "By the number (or e-mail) on the driver's card we know who sent a receipt. A driver without a number can pair himself: send him the link."

• The counts: Active drivers, With a phone, With an e-mail, and All set or To fix: N.
• No phone number (N): type the number into Phone of each driver ("With the country code, e.g. +48 601 222 333.").
• Numbers to fix (N): numbers without a country code, with an extra 0, that do not look like a number, or used by two drivers.
• Fix numbers (admins) adds the country code (+48 by default) and removes the extra 0, after you check the list of Now and After and click Save changes (N).
• Pairing link for a driver without a number (see the pairing link).

Drivers themselves are added in the TMS people register; "No active drivers yet. Add them in TMS > Drivers."

General

General: "The pallets you exchange and the name of your own yard." Only an admin changes it; Save changes saves.

The base is never a target of the suggestions, and the day report shows its stock on its own line. In Balances it is listed with the partners.

Tests

Tests: "Try everything without a driver. Test messages carry a TEST mark and never count towards the balances, reminders or reports."

Real test from your phone

"You send a code from your own WhatsApp, exactly like a driver, and watch it arrive." Click Test with your phone (it needs a connected number and Reading WhatsApp on):

1. Open WhatsApp on your phone (Open WhatsApp, the QR code, or write to the company number).
2. Send the code shown, for example PAL-7KQ4MX (the chat may already have it filled in). "You can attach a photo of any receipt: AI reads it like a real one." The code is valid for 30 minutes (Code valid for).
3. Watch the stages: Send the message with the code, Arrived in Quanty, Read, In To check. It works! ends it, with See it in To check.

"It is marked TEST: it does not count in the balances. For the next 24 hours your messages to this number are also taken as tests." Your number is then listed under Test numbers with until and the time. An admin removes one (Remove this test number) or all (Remove all). At most five numbers are test numbers at a time.

When nothing arrives within two minutes, the wizard lists what to check: that you write to the company number, that the message contains the code, and that WhatsApp shows two ticks. New code starts again; See messages we did not take opens the skipped messages.

Send a test e-mail works the same way: write from your mailbox to the drivers' address with the code in the subject, and attach a receipt if you like.

"What it costs: receiving a message is free. If you send a photo, AI reads it and uses AI credits, the same as any receipt from a driver." With the reply switched on, you also get one reply (about 7 credits).

Test message (simulation)

Test message (simulation) (also in the Add entry menu): "Nothing comes from outside. The message pretends to be a driver, so you can see how reading works."

Send test sends it ("Test message sent, we read it in a moment") and opens it in To do with a striped band: "Test message (simulation). Not from a driver." Approving it asks "Add a test message?" and adds the entries marked TEST.

Accept test codes

Accept test codes (admins; on by default): "A message with a code like PAL-7KQ4MX is taken as a test, even from a number that is not a driver." Switch it off to stop test codes from being taken.

The TEST mark

Entries and messages from the simulation, from a test with your phone and from test numbers carry a TEST mark. They:

• show in the calendar (with a TEST badge) and in To do (with a Test badge), so you can see the result;
• never count in balances, balance histories, missing receipts and reminders, the day report, suggestions, automatic confirmation or the comparison with your sheet;
• are left out of exports, unless you tick Include test data;
• cannot be moved on the Board.

A test message that completes a real entry never turns that entry into test data.

Delete test data

More (⋯ in the page header), Administrator, Delete test data (admins only; the menu shows how many test items there are). "Entries and messages marked TEST (simulation, phone test, sandbox) are deleted. Real data stays." Quanty then says "Deleted 6 test entries and 3 test messages". The test photos stay in Files, and the test numbers stay until they expire or you remove them.

Sample data

More, Administrator, Load sample data (admins) fills the calendar with three weeks of made-up pallet work on eight made-up trucks, their opening stock, every kind and status of entry, and four drivers' messages waiting in To do. It is the quickest way to show Pallets to your team.

Sample data is not test data: while it is loaded it counts in the balances, the day report and the suggestions like real entries, and Delete test data does not remove it. Remove sample data does: "Only the sample entries and messages go. Your own entries stay."

First steps

A new organization sees Get started with pallets above the calendar, with six steps, each with one button: Drivers and their phones, Pallets on the trucks today (the opening stock; optional), WhatsApp, E-mail (optional), History from Excel (optional; Skip, starting from zero) and Try it. "Do them in any order. Optional steps can be skipped." The card goes away by itself when every step is done or skipped, and Hide hides it earlier. Viewers do not see it.

Good to know

• Every switch saves at once and can be undone from the toast; General saves with its own button.
• The AI switch for the whole TMS is in TMS settings; when it is off, Reading by AI cannot be switched on here.
• Quanty never sends reminders by itself; step 6 only decides when a swap shows under Missing receipts.
