Adding pallet entries
Every pallet movement is an entry: a loading, an unloading, pallets given, taken or left, a stock correction, damaged pallets or a note. Most entries arrive by themselves from drivers' receipts (see Pallet receipts from drivers), but the office adds many too: from a phone call, from an old sheet, from orders, or simply by hand.
This page covers every way to add an entry, what each field means, which status a new entry gets, and how to change, confirm or delete an entry afterwards.
Before you start
- Adding and changing entries needs a role that may change TMS data: a member (with the Dispatch module if an admin limited their modules) or an admin. Viewers see the entries but no add buttons. See Pallets overview.
- The pallet types offered in the forms, and the type used when nothing is said, are set in Automatic, General (see Pallet settings and tests).
All the ways in at a glance:
| Way | Where | Good for |
|---|---|---|
| Add entry (Form) | The main button in the header, key N, the + in an empty day, or Add entry in a truck's menu | One or a few entries with every detail |
| Add entry (Shorthand) | The same dialog, Shorthand | Typing a cell the way you write it in your sheet |
| Type or paste entries | The field above the calendar | Many lines at once, or a block copied from your old Excel calendar |
| Log a call | Add entry menu (the arrow next to it) | What a driver told you on the phone |
| Add a receipt from disk | Add entry menu | A photo or PDF of a receipt you got another way |
| Import | More, Import | Your whole old calendar, a Marco order report, or a plan from orders |
| Create from TMS orders | More, Create from TMS orders | Planned loadings and unloadings for a period |
Add entry
Add entry opens New pallet entry. At the top, How to enter switches between Form and Shorthand; Quanty remembers the one you used last. Opened from a day of a truck, the dialog shows the truck and the day as chips under For (click the × on a chip to clear it).
The form
Pick What happened first; the number fields then follow what happened (a loading asks for Pallets loaded and Empties given by the driver, an unloading for Pallets unloaded and Empties received by the driver).
| Field | What it means | Example |
|---|---|---|
| What happened | Loading, Unloading, Gave pallets, Took pallets, Left pallets, Stock correction, Damaged pallets or Note. Required. | Unloading |
| Date | The day it happened; Today and Yesterday fill it in one click. | 08.10.2026 |
| Pallet swap? | Loadings and unloadings only: Yes, No or Not sure. Only Yes changes a balance. | Yes |
| Pallets loaded / Pallets unloaded | The pallets with goods. For other kinds: Pallets given, Pallets taken, Pallets left, Damaged pallets, or Stock change (minus removes) for a correction. | 33 |
| Empties received by the driver / Empties given by the driver | The empty pallets swapped. Leave it empty when it is the same as the pallets ("same (33)"). | 30 |
| Of these, refused as damaged | Pallets that arrived on your truck but the partner did not accept (see Damaged pallets). | 2 |
| Type | The pallet type: EUR (EP), CHEP, DPL, H1, Gitterbox or Other (only the types in use). | EUR (EP) |
| From the pallet receipt (optional) | Copy the partner's slip as it stands: Partner owes us ("Wir schulden Ihnen") or We owe the partner ("Sie schulden uns"). Quanty works out the empties ("Worked out: 30 empties"). | We owe the partner: 3 |
| What the correction changes | Stock corrections only: Truck stock or Partner balance. | Truck stock |
| Partner | The company. For Left pallets the field is Where (partner or base). Names you used before are suggested. | Mleczarnia |
| Order no. | The order the swap belongs to. | 16027/2026 |
| Truck and Driver | The plate and the driver. | PO 2LT90 |
| How we know and Details | Where the information came from: Entered by hand, Phone call, WhatsApp, E-mail, SMS, Chat or Other, and a note such as "the driver called at 14:20". | Phone call |
| Why did it happen | Order terms (the order required it), Dispatcher instruction (your decision) or Driver on his own (nobody asked him to). | Order terms |
| More: Status | Leave Decide by the rules (see Which status a new entry gets) or pick one. | Decide by the rules |
| More: Card colour in the calendar | By status, or a colour of your own. | By status |
| More: Note | Free text. | sends the receipt tomorrow |
Under the numbers, a live line does the sum, for example "Unloaded 20 pallets. The partner accepted 18 sound ones (20 − 2). The driver got 25 empties. We owe the partner 7 EP." Next to the form, In the calendar it looks like this shows the card, and What this changes says it in sentences ("The truck gains 25 empty EP.", "We owe Mleczarnia 7 EP."). It warns when an effect lands nowhere: "No partner entered, so 3 EP will not count anywhere", with Add to fill it in.
Add another entry adds a second card in the same dialog (for example the loading and the unloading of one order). Save (or Save entries (N)) saves them all at once, up to 200; Save and add another keeps the dialog open.
Which status a new entry gets
With Decide by the rules, a new entry from the office gets:
| Entry | Status |
|---|---|
| Numbers known (a loading or unloading with a swap and a count, or a handover, pickup, drop, damaged or correction with a count) | Confirmed: you typed it yourself, so it counts at once. |
| A loading or unloading with Pallet swap? Yes but no count | Receipt missing |
| A loading or unloading with Not sure | Planned |
| A handover, pickup, drop, damaged pallets or correction without a count | Receipt missing |
| A loading or unloading with No | Confirmed, and it changes no balance |
Shorthand
Shorthand is for typing a cell the way you write it in your sheet. Write it like in your calendar: one line is one entry; Enter saves, Shift+Enter adds a line. Quanty reads the text as you type, by rules and without AI, and shows What Quanty understood as rows (Entry, What happened, Swap, Pallets, Partner, Order, Date, and Status when the text sets one), each with what it changes. Edit opens the full form for a row; the bin removes it. How to write shorthand opens the cheat sheet below.
How to write shorthand:
| Write | Means |
|---|---|
| z | loading |
| r | unloading |
| od | the driver gave pallets |
| zabr | took pallets |
| zost | left pallets (e.g. at the base) |
| + (or Plus / Minus) | stock correction |
| uszk | damaged pallets |
| colour words | orange = confirmed, yellow = receipt missing, pink = no exchange, red = discrepancy |
Examples the dialog offers: z. 33 EP, Mleczarnia, 16027/2026, r. 27 EP, 17112/2026, od. 9 EP na z, Orange R33 Z31 ABC1234 Hurtownia Berlin (an unloading of 33 and a loading of 31 with one order and partner), Plus 3 EP, uszk 2. When the rules recognise nothing, Read with AI sends the text to the AI ("Read by AI, check carefully").
Type or paste entries
The field above the calendar, Type or paste entries, takes many entries at once: "One entry per line: the truck, the day and what happened, in any order. You can also paste a piece of the old Excel calendar."
What a line can say
A line is read from the start. It can begin with the day and the truck, in any order, followed by what happened:
PO 2LT90 08.10 r. 20 EP Mleczarnia
08.10 PO 2LT90 z. 33 EP Oelrich 16027/2026
PO 4PL21
pon r. 33 EP wym. 30 Lidl Berlin
wczoraj od. 9 EP na z
r. 20 EP dostałem 25 2 uszk Hurtownia- The truck: a plate Quanty knows (your fleet, trucks added to the pallet calendar, or plates used in the last 400 days), with or without spaces. A new plate is accepted only at the start of a line, in capitals. A driver's full name also works.
- The day:
08.10,08.10.26,08.10.2026,08/10,2026-10-08; a weekday at the start of the line (pon,wt,mon, montagand so on, inside the week shown); ordziś,jutro, wczoraj, today, tomorrow, yesterday, heute, morgen, gestern. Without a year, Quanty takes the nearest one. - What happened must start the statement:
r.,z.,od.,zabr.,zost.,uszk,Plus,Minus, and their longer forms (rozład,załad,unloading, loading, entladen, beladenand so on).R33andZ31are short for "unloading 33" and "loading 31";+4or-2is a correction. - The count and type:
33 EP,33ep,33 eur,33 pal;CHEP,DPL,H1,GitterboxorGBright after a number. One type per entry. - The empties swapped:
wym. 30, or "dostałem 30", "otrzymał 30", "bekommen 30" inside an unloading or loading. Damaged:2 uszkinside the line. - No swap: "bez wymiany", "brak wymiany", "kein Tausch", "ohne Tausch", "no exchange".
- The order number:
16027/2026(or a code such asABC1234). The partner: the remaining words. - Several entries in one line: separate them with
;, or write them one after another (R33 Z31 ABC1234 LIDL Berlin). - A line with only a truck or a day (such as
PO 4PL21) sets it for the lines below. A line without a truck or day takes them from the line above; the first line takes them from the day you clicked in the calendar ("Lines without a truck or day: PO 2LT90 · Thu 08.10"). Forget the selected day clears that.
Pasted entries start as planned
Entries added from this field are Planned and count in no balance until someone confirms them, unless the line says otherwise: the word "potwierdzone" (or "confirmed", "bestätigt") makes it Confirmed, and a colour word sets the status (orange confirmed, yellow receipt missing, pink no exchange, red discrepancy). A block pasted from Excel always comes in as planned, because the cell colours stay behind in Excel. To bring your old calendar in with its colours, use Import.
Pasting from Excel
Copy a block of your old calendar in Excel and paste it into the field. The bar shows Pasted piece of the calendar (Show the text opens it). Quanty reads it as a grid ("Read as a piece of the calendar: rows are trucks, columns are days") when the first row holds dates and the first column holds trucks. Without a row of dates, the columns become days from the day you clicked.
The preview
Quanty reads while you type and the bar says, for example, Read: 12 entries · 3 trucks. Preview opens the panel on the right; the new cards also appear in the calendar with a dashed new mark.
- The entries are grouped by truck and day. Everything with a day is ticked, except doubles and lines nobody could read; an entry without a day cannot be ticked. Untick what you do not want, or Tick all of a truck.
- Already in the calendar (the same truck, day, kind, count and type) starts unticked. A similar entry is already there (the same kind with other numbers) only warns.
- No such truck: "Add it, or say which truck it is." Add truck or Pick a truck. No day: "Click a day in the calendar, then paste again, or write the date in the line."
- Check the count marks a loading or unloading of more than 66 pallets.
- Lines Quanty did not understand show as N notes not read, unticked. Read with AI sends all of them in one reading; what the AI cannot read either you can tick to keep as a note (not read: saved as a note). When the AI is switched off in the TMS settings or the AI budget is used up, the panel says so.
- Add N entries (or Ctrl + Enter in the field) adds the ticked entries in one go: all or nothing. Clear throws the text away.
The toast Added N entries has Undo, which removes the whole batch again. Entries someone changed in the meantime are kept ("N kept: someone changed them meanwhile.").
Limits: up to 20,000 characters and at most 300 lines or cells at once ("At most 300 entries at once. Paste a smaller piece."); one line can hold several entries.
Log a call
Add entry menu, Log a call opens Log a driver call: "Write down what the driver said. We show straight away what goes into the calendar, without AI."
| Field | What it means | Example |
|---|---|---|
| Driver | Who called. | Jan Kowalski |
| Truck | His truck. | PO 2LT90 |
| When he called | Day and time; Now fills it in. | 08.10.2026 14:20 |
| What he said | "Write like in the calendar or in plain words". | Left 8 EP at the main yard, sends the receipt tomorrow morning. |
| Receipt photo (optional) | A photo, if you have one. |
I understood: shows the entries as cards (read from the text, without AI); correct them or Add an entry by hand. Then:
- Save in calendar (N entries) stores the call and adds the entries at once ("The call is kept in the entries history.").
- Save to check stores the call so you or a colleague finish it later in To do ("Call saved, waiting in To check").
Add a receipt from disk
Add entry menu, Add a receipt from disk opens Add receipt from disk: "A photo or PDF of a receipt you got another way. This is real data, not a test."
- Drop the files or Choose files (JPG, PNG, HEIC or PDF, up to 20 MB each, at most 10). Paste a screenshot with Ctrl+V.
- Where did you get it?: Forwarded from WhatsApp, From e-mail, From SMS or Other.
- Pick the Driver and the Truck, and add Notes (optional).
- Read it right away: on, "Quanty reads the receipt and proposes entries to check"; off, "The receipt waits in To check, you add the entries yourself."
- Add for checking. The receipt waits in To do like a driver's message (see To check and To do).
The photos are saved in Files, in the Palety folder, like a driver's.
Importing your old calendar
More, Import (or Automatic, Import) brings in what you already have. It runs in five steps: What you import, File, Checking, Preview and Done. Nothing is written before the last click.
What you import
| Choice | What it is | What it creates | When you import it again |
|---|---|---|---|
| My Excel calendar (History) | "What really happened: pallet counts and colours from your calendar." | "Finished entries, the cell colour sets the status." | "We add only what is not there yet." |
| Marco report (Order plan) | "Which tractor loads and unloads where and when." | "Two planned entries per order (loading and unloading), to fill in later." | "We update date, truck and driver while the entry is still planned." |
| Plan from Quanty orders (Order plan) | "The orders already in Quanty for a period." | "Same as Marco: loading and unloading to fill in." | "No duplicates." |
Your Excel calendar
- The file: an .xlsx or .ods file "the way you keep it: dates in the first row, trucks in the first column". Up to 10 MB, the first 10 sheets, and a sheet needs at least two dates in its first row.
- The truck blocks: in the first column, a plate starts a truck; the lines under it can hold the driver (a dated line such as "Nowacki 28.08.2026", or the first full name) and phone numbers.
- The cells are read like shorthand (
z. 33 EP Oelrich 16027/2026), and the fill colour sets the status:
| Cell colour | Status |
|---|---|
| Orange (FF8000) | Confirmed, pallets swapped |
| Yellow (FFFF00) | Receipt missing, pallets swapped |
| Pink or pale green (F7D1D5, FFD7D7, DDE8CB) | Confirmed, no swap |
| Light grey (DDDDDD, CCCCCC) | Confirmed, pallets swapped |
| Red (FF0000) | Discrepancy |
| Another colour, or no colour | Confirmed (without a colour: Receipt missing when a swap has no count) |
Quanty reads these exact colours of the standard palette. Another shade, such as a paler yellow or a darker red, counts as Confirmed with the swap read from the text, so check the counts in the preview before you import.
- A loading and "od. 33 EP na z" in the same day of a truck become one loading with the swap ("We joined 1 handover at loading with its loading").
- A row where one word fills ten or more days (for example a holiday) becomes one note per block.
The preview says what is in the file ("The file has 612 entries for 14 trucks, from 01.08 to 30.09."), what will be added ("We add 575, 37 are already in Quanty (skipped)."), the counts in the calendar colours, Preview: first 20 of the entries as cards, and Cells we do not understand (N): "These are skipped. If they matter, copy the text and add the entry by hand in the calendar." Import N entries writes them; Done offers Show in calendar and Import another.
On a second import of the same file, a cell already in Quanty (the same truck, day, kind and text) is skipped, so you can import a newer version of your sheet safely.
The Marco report
An .xls or .xlsx order report "with the columns Nr pełny, Zleceniodawca, Trasa, Ciągnik, Kierowca 1, Podjęcie, Dostarczenie". Each order becomes a planned loading and a planned unloading, with the swap Not sure. Rows with a problem lists orders that repeat in the file or have no pickup or delivery date. Orders already copied from Marcos TMS are skipped.
Create from TMS orders
More, Create from TMS orders opens Create entries from TMS orders: "Quanty creates planned loadings and unloadings from the orders in this period. Nothing counts in the balances until you confirm it."
- Pick From and To (up to 93 days). The range of the calendar is filled in.
- Check what appears shows "N new, N updated, N skipped." and the entries, or "No orders to bring over in this period."
- Create entries adds them ("Created N entries from orders").
What Quanty takes:
- Orders in the period that are not drafts and not cancelled, whose first loading or last unloading falls in the period.
- A Loading on the day of the first loading (partner: the loading company, else the client) and an Unloading on the day of the last unloading (partner: the unloading company, else its city), each only when its day falls in the period: an order that loads in the period and unloads after it gets only the loading. A split unloading gets its own unloading entries. The truck and driver come from the order (or the carrier's plate and driver), and the type is EP.
- The swap comes from the goods: when a goods line has Pallet exchange ticked, the entry gets Yes with the EUR pallets of those lines and the status Receipt missing. Without a ticked line, a Quanty order gets No (status Planned); an order brought in from Excel or Marcos TMS gets Not sure with the EUR pallets carried.
Running it again for the same period creates no doubles: it updates only entries still planned or waiting for a receipt (date, swap, count, partner, truck, driver) and leaves confirmed ones alone. Orders that already have an entry copied from Marcos TMS are skipped.
Use one source for the plan
Create from TMS orders and the Marco report import do not know about each other's entries. Using both for the same period gives double planned entries, so pick one.
Changing an entry
Click a card in the calendar (or a row in the Sheet) to open the entry in the side panel, Pallet entry.
- The header says what happened ("Unloading 28 EP"), the truck, driver, day, order, and the status with where it came from ("To check · reported by the driver on WhatsApp"). The ⋯ menu (More actions) has Copy the description, Duplicate (a copy on the next day: "Copy created"), Open the order, Show in the calendar and Delete entry.
- Confirm and Discrepancy appear for entries waiting for a person. With unsaved edits the button reads Save and confirm. An entry without a count asks "Enter how many pallets there were first, then confirm" (Enter the counts). A planned entry still ahead cannot be confirmed: "Planned for 12.10.2026. Enter the counts when the driver sends the receipt."
- Discrepancy asks What does not match? with a short note; the entry turns red and shows "Discrepancy: …". On a discrepancy, Cleared up, confirm confirms it.
- What this changes says what the entry does to the balances.
- Receipt shows the photos and PDFs (a click opens the full-screen viewer). Add a receipt (or drop a photo or PDF), remove a file ("The file stays in the driver's message, if it came with one."), or, when there is none yet, Remind the driver. Messages links the driver's messages behind the entry.
- The form below holds every field; More opens why, status, source, colour and note. Save or Undo appear once you change something.
- Change history (N) lists where the entry came from and every change, with who made it.
When someone saved the entry while you were editing, the panel says "Someone changed this entry meanwhile" with Load their version or Save mine anyway. Viewers read "You can view this entry but not change it".
Deleting
Delete entry asks "Delete this entry?": "It leaves the calendar and the balances. The history keeps it." A deleted entry cannot be brought back from the app; add it again if you deleted it by mistake. To keep an entry visible but out of the balances, set its status to Cancelled instead.
Damaged pallets
There are two kinds of damaged pallets, and they count differently:
- On a loading or unloading (Of these, refused as damaged): pallets that arrived on your truck and the other side refused. The partner credits only the sound ones; the truck's empties change as usual. Example: 20 pallets delivered, 25 empties received, 2 refused: the truck gains 25 empties and we owe the partner 7 EP ((20 − 2) − 25).
- On their own (Damaged pallets,
uszk): empty pallets written off the truck. "Damaged pallets leave the truck stock"; no partner owes anything for them.
Good to know
- Every entry remembers How we know (its source): typed by hand, shorthand, WhatsApp, e-mail, a call, a calendar import, a TMS order, sample data, a test message or Marcos TMS.
- An entry without a partner changes no partner balance; an entry without a truck changes no truck stock. Quanty warns about both instead of guessing.
- Any entry can be edited, also a confirmed one or one copied from Marcos TMS. A value you change in Quanty is not overwritten by the next copy from Marcos TMS.
- The calendar export is laid out like your sheet and can be imported back (see Export).
