Bringing your data in from files

You do not have to type your history into the TMS. Each register reads your own files: orders from Excel, CSV or an orders report of Marco TMS, contractors from a spreadsheet, the pallet calendar you kept in Excel, absences and employee equipment exported from Marcos, and the transaction files of your fuel cards. Each import shows a preview first, saves nothing until you confirm, and skips what is already in Quanty, so importing the same file twice does not double anything.

Before you start

  • Imports are part of the TMS add-on and need a role that may change TMS data (member or admin). A member limited to some TMS modules imports in their modules: orders, contractors and pallets under Dispatch; absences, equipment and fuel under Fleet.
  • You do not need a connection to Marcos TMS for any of this. With a connection, Quanty copies the data itself (see TMS next to your existing system); the files are for history and for organizations without one.
  • Old Excel files (.xls) are refused by some imports; save them as .xlsx or .csv first.

Orders

Importing orders from a file.
Import orders: the drop area for Excel, OpenDocument or CSV, one order per row, and the note that a Marco report works as it is
  1. In Orders, open the arrow next to New order and choose Import from a file (Excel, CSV) (or Import from Excel on an empty list). The page Import orders opens.
  2. Drop the file: "Excel (.xls, .xlsx), OpenDocument (.ods) or CSV, one order per row. A Marco report works as it is." A file over 25 MB is refused ("Split it into smaller files."), and only the first 5 000 rows are read.
  3. Check the preview: which column is which, what will be created and what is skipped.
  4. Choose the settings:
SettingWhat it meansDefault
Skip orders that are already in Quanty"Same order number, or the same client and reference."On
Our company in the carrier column"Rows with this name are driven by your own trucks, every other name is a carrier." Or None of them (every row goes to a carrier).
Status of the ordersAutomatic: "Delivered when the delivery is in the past, planned when a truck or carrier is set, otherwise confirmed." Drafts: "Every order comes in as a draft to check and confirm." Confirmed: "Every order comes in confirmed. An incomplete row stays a draft."
Add the missing clients, carriers, trucks, driversCreates the registers the file names but Quanty does not have yet.On
  1. Confirm the import. Nothing is saved before that. Skipped orders show as Already in Quanty: "Skipped, nothing is imported twice".

Marco TMS report. An orders report exported from Marco TMS is recognised by its headings, without AI, and shown as Marco TMS report. It needs the columns Nr pełny and Trasa plus Podjęcie or Dostarczenie; Quanty also reads Zleceniodawca, Przewoźnik siedziba, Ciągnik and Kierowca 1. See TMS orders and quotes for the other ways to create orders.

Contractors

Importing contractors.
The Import contractors dialog: Download a CSV template, the file area for CSV or XLSX up to 10 MB, and how contractors are matched
  1. In Clients or Carriers, open ⋯ and choose Import from file. The dialog Import contractors opens.
  2. Optionally Download a CSV template.
  3. Choose the file: "CSV or XLSX, up to 10 MB", up to 50 000 rows. "The first row names the columns; only a name column is required (name or nazwa)."
  4. Import. The result counts Added, Completed and Unchanged.
  • "Contractors are matched by NIP, else by the exact full name." The name match ignores upper and lower case. A row with a NIP that matches no contractor creates a new one.
  • "Nothing typed in Quanty is overwritten: only empty fields are filled."

See TMS clients and carriers.

Pallets

The three kinds of pallet import.
Pallets import: the three kinds, My Excel calendar, Marco report and Plan from Quanty orders

In Pallets, ⋯ Import offers three kinds:

KindFilesWhat it does
My Excel calendar.xlsx or .odsReads your old pallet calendar with its colours as history. Adds only what is not there yet.
Marco report.xls or .xlsx with Nr pełny, Zleceniodawca, Trasa, Ciągnik, Kierowca 1, Podjęcie, Dostarczenie"Two planned entries per order (loading and unloading), to fill in later". Importing again updates the date, truck and driver of an entry that is still planned.
Plan from Quanty ordersnonePlanned entries from the TMS orders.

A file over 20 MB is refused. Compare with my sheet checks your balances against a sheet without saving anything. See Adding pallet entries and Pallet balances.

Absences

Reading absences exported from Marcos.
The Read absences from Marcos dialog: export the absence summary (Analysis) from Marcos to Excel, Choose the file, and Cancel
  1. In People, open ⋯ and choose Read from Marcos.
  2. Read absences from Marcos: "In Marcos, export the absence summary (Analysis) to Excel and choose the file here. Quanty counts every absence again."
  3. Choose the file: CSV or .xlsx, at most 5 MB and 5 000 lines, with the columns Osoba, Kod, Data od, Data do, Liczba dni and Liczba godzin. An old .xls: "Save the file in Excel as .xlsx or .csv and load it again."
  4. Match the people and the absence codes of the file to yours, then import.

An absence that already exists is skipped, and one that overlaps an existing absence is not written. See Absences.

Equipment

Importing employee equipment from Marcos.
The equipment import from Marcos: upload the Wyposażenie pracowników export as CSV or XLSX, then check the preview
  1. In Workshop, on the equipment tab, open ⋯ and choose Import from Marcos.
  2. Upload the "Wyposażenie pracowników" export from Marcos, CSV or XLSX, up to 5 MB, with Choose file. "First you see what we found; nothing is saved until you confirm."
  3. Check file shows what Quanty found; then import. Quanty reads Imię, Nazwisko, Nazwa, Data przekaz., Data oddania, Data utylizacji, Nr faktury, Nr ewidencyjny, Opis and Charakterystyka.

See Equipment and handover.

Fuel

Transaction files from your fuel card suppliers, CSV or XLSX, up to 5 MB and 5 000 rows, are read in Workshop, Fuel per supplier profile. An old .xls is refused. See Fuel.

KSeF invoices

With KSeF connected, carrier invoices arrive by themselves and become carrier costs (Costs from KSeF in Automatic actions). See KSeF e-invoices.

Good to know

  • Every import shows a preview first and saves nothing until you confirm.
  • Importing the same file again does not double anything: orders, contractors, pallet calendar entries and absences that are already there are skipped or only filled in.
  • Imported records are ordinary TMS records: no origin mark, and Quanty sends reminders and e-mails about them as usual.
  • The column names of the Marcos exports are the Polish headings of those files, as Marcos writes them.

Start with contractors

Import contractors first, then orders. The orders then find their clients and carriers instead of creating new ones.
