Issues

Issues is the TMS queue of "What Quanty found that a person should look at": a possible duplicate order, a missing plate, a carrier invoice that differs from the agreed price, a driver's licence about to expire, an overdue payment. Quanty looks through orders, costs and deadlines by itself, raises an issue with a short explanation and a suggestion, and closes it again once the problem is gone. A person resolves or dismisses the rest, always with a written reason.

Before you start

  • Issues is part of the TMS add-on: the second row of the TMS rail, under My work. Its count is the number of open issues ("Open issues: 55").
  • Everyone in the organization sees the queue. Resolving and dismissing need a role that may change TMS data (member or admin); viewers see the list without the buttons.
  • Issues are not tied to a TMS module: a member limited to some TMS modules can still resolve and dismiss them.

How issues are raised

  • Every 15 minutes Quanty checks the whole organization ("Checking orders" in Automatic actions). Each check opens new issues, refreshes the open ones (title, urgency, owner, due date) and closes those whose problem is gone.
  • When you save a record Quanty checks that one record at once, so a Possible duplicate order shows the moment the second order is saved, not 15 minutes later.
  • Check again (top right of the queue) runs the whole check now, for example after you fixed several orders. If it cannot run: "The check did not run. Try again in a moment."

Each issue has an urgency: critical (red), a warning (amber) or information. The urgency can rise by itself, for example a document that expires within 7 days becomes critical, and an overdue payment becomes critical after 30 days.

The queue

Issues, grouped by kind.
The Issues page: All, Mine and Critical with their counts, Check again, and issues grouped by kind, each with its explanation, suggestion and Open, Resolve and Dismiss
  1. Pick a filter: All (with the number of open issues), Mine (issues where you are the owner) or Critical (with their number). The filter stays in the page address, so a link to Mine or Critical opens it directly.
  2. Issues are grouped by kind, the most serious kind first. Each group shows its three most serious issues; Show all 12 unfolds the rest and Show less folds them again.
  3. Each issue shows its title (for example "Order 0014/10/2026: at risk of being 21 h 49 min late"), why it matters ("The unloading window has passed and the order is not marked as delivered.") and a suggestion with a sparkle ("Warn the client and agree a new window, or update the order status.").
  4. Open goes to the record: the order, contractor, vehicle, driver, invoice or cost.
  5. Act on it with Resolve or Dismiss (below).
FilterWhat it showsWhen it is empty
AllEvery open issue."Nothing needs attention right now."
MineOpen issues whose owner is you."Nothing assigned to you needs attention."
CriticalOpen critical issues."No critical issues."

The owner of an issue is the owner of its record: the order's owner, the contractor's account manager, the person who sent the invoice e-mail. Someone can also hand an issue to a colleague through the assistant in chat ("hand it to Magda"), and the next check keeps that person.

The Critical filter.
Issues filtered to Critical: only the red issues, such as a blocked contractor on an order or incomplete ADR details

Resolve or dismiss

ActionDialogWhat it asksWhat happens
ResolveResolve this issue"Say what was done. The note stays in the history of the record."The issue closes. If the problem is still there at the next check, it opens again.
DismissDismiss this issue"Say why this is not a problem. The issue will not come back for the same reason."The issue closes for good for this record and this reason.
  1. Click Resolve or Dismiss on the issue.
  2. Write the reason: at least 3 characters.
  3. Click Resolve or Dismiss in the dialog. If it cannot be saved, the dialog stays open with "The issue could not be resolved" or "The issue could not be dismissed".
Resolving an issue with a note.
The Resolve this issue dialog: the issue's title, Say what was done. The note stays in the history of the record, a reason field and Resolve

Issues also close by themselves: when the problem is gone at the next check (the order got its plate, the cost was matched), Quanty closes the issue with the note "Rozwiązane automatycznie" (Quanty writes this note in Polish in every language). You do not have to resolve those.

Dismiss is a decision

Dismiss when the issue is wrong for good, for example two orders that really are separate. Resolve when you fixed something. A dismissed issue never comes back for the same record and reason, so use it with care.

Kinds of issues

AreaKinds
OrdersPossible duplicate order, Client reference missing, Plate missing, ADR details incomplete, ADR waiver needs a reason, Ramp not set, No pre-advice booked (for a loading within the next 24 hours), Negative margin
Contractors and creditBlocked contractor (on an order), Credit limit exceeded, Permission to go over the credit limit (while one is active), Carrier not rated yet
DocumentsDocuments missing, Document deadline close (the invoicing deadline is near and documents are still missing)
Carrier costsCost without an order, Cost differs from agreed
RoadLong stop (a truck on an order standing still twice as long as A stop counts from, away from a planned place), The carrier declined the order
Sets and driversGap in set history, Overlapping sets, Set differs from the order, No set at the order time, Driver card differs from the set, Set differs from the old system, Papers do not cover the order, Driver absent
Fleet and workshopService clashes with an order, Document expiring (within 30 days), Tachograph download due, Low tyre tread, Warranty claim possible, Road card to check
FuelFuel without a vehicle, Unusual fuelling, Fuel invoice without card transactions, Fuel may be counted twice, Fuel invoice does not match the cards
Mobility packagePosting without an IMI declaration, Posting cannot be checked, Cabotage over the limit, Vehicle must return to base, Driver must return home
Money and KSeFOverdue payment, Old draft invoice, Invoice not in KSeF, Invoice rejected in KSeF, E-mail did not arrive (an invoice or reminder e-mail that bounced, in the last 30 days)

Issues of a kind the app has no name for are grouped under Other. Today that is mainly the delay risk: "Order 0014/10/2026: at risk of being 21 h 49 min late", critical from 2 hours late, a warning from 30 minutes.

Good to know

  • The text of each issue is written by Quanty: in Polish in the Polish app, in English in the English and German apps.
  • Issues show on My work too: My issues for a forwarder and Urgent issues for a manager, and the line "open issues: 8" under the board.
  • Some issues need a connection to appear at all: Long stop and delay risk need telematics on your own trucks, the KSeF issues need KSeF.
  • The Long stop time is set in Automatic actions, the invoicing deadline in TMS settings.
  • Resolving or dismissing writes the reason into the record's history with your name.
  • An old link to My work with a queue in it (?queue=mine) opens Issues with that filter.
