My work
My work is the first page of the TMS: "What waits for you today". It greets you, tells you how many loadings and unloadings there are today, and shows the work of your job: a forwarder sees his own orders, quotes and missing documents, accounting sees what to invoice and what is overdue, the workshop sees service orders and deadlines. Everything on it is a link to the record or the list behind it.
Before you start
- My work is part of the TMS add-on. It is the top row of the TMS rail, and the TMS opens on it the first time.
- Everyone in the organization sees it, viewers too. A viewer, or anyone in an organization that is read-only right now, sees View only at the top of the board: "You can look at everything here, but changes are off for your role or for this organization right now."
- Each person has their own My work: To do, My vehicles and the forwarder's numbers follow the person who is signed in.
The top of the page
- The greeting: "Good morning, Kasia" (afternoon, evening by the hour), then the date and "Today 1 loading and 1 unloading", or "No loadings or unloadings today."
- The ask box: type a question about your transport and send it; it opens the Chat panel next to the page with your question, and you stay in the TMS. The grey text in the box changes between examples such as "Which orders for tomorrow still have no carrier?". Under it sit four suggestions for your job (below). See TMS in chat.
- New order at the top right is the page's main button. Its arrow opens Import order from a file, Import from a file (Excel, CSV), New quote and Issue an invoice. Viewers do not see it.
Suggestions in the ask box
| Job | The four suggestions |
|---|---|
| Forwarder | Waiting for a carrier, Missing documents, My margin, Quotes with no answer |
| Dispatcher | Today's loadings, No truck yet, Running late, Free trucks tomorrow |
| Accounting | Overdue payments, Ready to invoice, Money in, next 14 days, Costs to explain |
| Workshop | Due this month, Open repairs, Fleet costs, Costliest vehicles |
| Manager | Margin this month, Top clients, Team results, Overdue receivables |
A suggestion sends a full question, for example Quotes with no answer asks "Which of my quotes have waited more than 3 days for the client to answer?". When your organization cannot use AI right now (no plan that includes it, an unpaid plan or no credits left), the ask box is greyed out.
Your day: the board of a job
Your day shows one job at a time. The job's name sits next to the title ("Your day · Forwarder"); click it to open Show the day of and pick another one: Forwarder, Dispatcher, Accounting, Workshop or Manager.
- The first time, Quanty picks the job for you and marks it suggested: "Suggested from what you do most". It counts what you changed in the TMS in the last 30 days (orders, quotes and contractors count for the forwarder; sets, drivers, absences and vehicles for the dispatcher; invoices, costs, payments and the bank for accounting; service orders, fleet costs, the parts store and equipment for the workshop; settings and branches for the manager). With no history yet, an organization admin starts as Manager and everybody else as Forwarder.
- Pick another job and the whole board and To do switch to it. Your choice is remembered in this browser, so My work opens on it next time.
- While the numbers of the new job load, the board stays dimmed with the old numbers instead of going blank.
The four numbers
Each job has four numbers on top. Each one is a link to the list behind it, and a number Quanty could not count shows as "·", never as a made-up zero. Money in one strip shares one unit (PLN, k PLN or M PLN).
| Job | Numbers |
|---|---|
| Forwarder | My orders in progress, My margin this month (with a small trend line and the change against last month), Quotes waiting, Missing documents |
| Dispatcher | Loadings today, Unloadings today, On the road, Late or unassigned ("late 2 · unassigned 1") |
| Accounting | To invoice, Overdue (with the number of invoices), Expected in 14 days, Bank lines to match |
| Workshop | Open service orders, Deadlines in 30 days (with how many already passed), Low stock, Fleet costs this month |
| Manager | Revenue, Margin (with its share of revenue), Orders, Overdue |
A change against last month compares the same days: "From the 1st to 2 November, against the same days of October". Early in a month that is fairer than comparing with the whole last month.
The charts
| Job | Charts, in this order |
|---|---|
| Forwarder | Margin, month to date (switch Margin / Revenue, this month against last month, Report opens the report), My orders by stage, Top clients this month |
| Dispatcher | On the road today (the day's loadings and unloadings by hour, with to do, on site, done and late), Fleet now (each truck On the road, Loading, Free, In service or No driver, with Map), Next 7 days |
| Accounting | Expected payments, next 14 days, Receivables by due date (Not due yet, 1-7 days, 8-30 days, 31-60 days, Over 60 days), Invoiced this month against the same days of last month |
| Workshop | Deadlines in 30 days (on a 30-day axis: passed, within 7 days, later), Service orders by status, Fleet costs by category |
| Manager | Margin, month to date, Top clients this month, Team margin this month (per order owner; orders without one under No owner), Receivables by due date |
A chart with nothing to draw is left out. When nothing is left, the board says "All calm. When something changes, you will see it here."
To do
To do sits next to the main chart: what waits for you in the job on screen, the most urgent first ("58 things wait").
- It shows at most five rows, and at most two from one list, so one long list does not push the rest out. The order is: the most serious list first, then what is overdue, then what is due soonest.
- Each row names the record, why it is here and when it is due ("tomorrow", "today 14:00", "overdue"), with a coloured dot for how urgent it is. A click opens the record.
- Under the rows, "12 more in your lists" and All lists open the job's full lists, each with its count.
The lists of each job
Every job starts with Reminders: the reminders you set yourself on an order card or another record ("Remind me"), due today or earlier. A reminder past its day says how late it is ("2 days overdue").
| Job | Lists |
|---|---|
| Forwarder | My orders to act on (your drafts, and your confirmed orders with no carrier or truck yet), Waiting for documents (your delivered orders with documents missing), Quotes waiting for an answer (your sent quotes that are still valid; amber when one expires within two days), My issues, Carriers not confirmed yet (red when the loading is within 24 hours) |
| Dispatcher | Loading today, Unloading today, Orders without a vehicle, Late (a loading that has not started two hours after its window opened, a delivery past its unloading time, or an expected arrival after the window), Tractors without a set, Drivers absent, Papers expiring soon (within 14 days) |
| Accounting | To invoice (delivered, documents complete or not required), Invoice drafts, Carrier costs to explain, Bank lines to match, Overdue receivables, Broken payment promises |
| Workshop | Open service orders, Inspections and insurance due (within 30 days), Low stock, Fleet costs without a vehicle |
| Manager | Margin this month, Orders below cost, Credit limits exceeded, Urgent issues, Overdue receivables, Clients who pay late |
"My" means the orders and quotes where you are the owner, and the issues handed to you. In All lists, a list opens its full page in the TMS, for example Waiting for documents opens Documents filtered to your orders.
When a job has nothing waiting: "Nothing is waiting for you. New things appear here by themselves."
My vehicles
My vehicles: "Orders of the next three days on the vehicles you look after." It lists the orders on the tractors and trailers where you are the Guardian on the vehicle card, for today and the next two days, plus the ones already on the road. It shows only when there is something to show, whatever job is on the board. All my vehicles opens the vehicles list filtered to yours. See Groups and guardians.
In the background
Under the board, one quiet line sums up what the automatic actions left for a person, each part a link:
| Part | Opens |
|---|---|
| "open issues: 8" | Issues |
| "reminders to approve: 3" | Reminders to approve, where you read each reminder draft and Send, Skip or Discard draft it (see Dunning) |
| "transfers to check: 6" | Bank, the transfers waiting for a match |
| "pallets to check: 2" | Pallets, To do |
| "GPS live: 37 of 41 trucks" | the fleet Map; shown once telematics is connected |
| Automatic actions | the automatic actions in TMS settings |
A part with nothing in it is left out.
A new organization
An organization with no TMS data yet sees Start here instead of the board: "Three steps and the TMS starts working for you."
| Step | What it says | Button |
|---|---|---|
| Add your first order | "Type it in or load a PDF; Quanty fills in the rest." | New order (not for viewers) |
| Connect GPS | "Trucks on the map, stops marked by themselves, delays caught early." | Connections |
| Look around on sample data | "A fictional haulier with orders, fleet and invoices, removed with one click." | Sample data (see TMS settings) |
Good to know
- The numbers come from the same orders, invoices, costs and fleet costs as the reports, counted in PLN. The manager's Margin this month is the freight of the orders loaded this month minus their carrier costs and minus this month's fleet costs.
- If the numbers do not load: "The numbers did not load. Try again." with Try again.
- Without the TMS add-on the page shows what the TMS is and Ask about TMS instead of the board (see TMS overview).
Your job, not your rights
The job on the board only changes what you see first. It never changes what you may do: that comes from your role and your TMS modules (see Who can do what).
