Positions and the fleet map
Once a telematics account is connected, every vehicle it reports shows on the fleet map with its last position, state, speed and driver. A connection can also keep a Vehicles table up to date, and Quanty keeps a position history for the route of each vehicle, the kilometres of orders and the road cards. This page covers what you see and what is stored.
Before you start
- A telematics connection (see Connecting telematics or Your own system (API)).
- Who sees the vehicles depends on where the connection writes, see Who can see positions.
The fleet map
Open Map in the TMS rail (Fleet): the Fleet map. It refreshes by itself every 30 seconds while the tab is open ("Updated 10:42 · refreshes every 30 s").
- Search plate, driver, place and the filters: the state (Driving, Idling, Stopped, Offline), All connections or one, and Everyone, Assigned to a person or Not assigned. "12 of 41 vehicles"; Clear filters; "No vehicle matches these filters."
- Each vehicle is an arrow: "Arrows point where a vehicle is heading." A vehicle whose position is old shows a clock (Old position).
- Telematics settings (admins) opens Telematics.
- When a connection fails: "Needs attention: Eurowag. Positions from it may be out of date." with Open telematics.
| The map says | Why |
|---|---|
| "No telematics account connected" | Nothing is connected yet. Admins get Connect telematics; others read "An organization admin needs to connect your telematics account first." |
| "No vehicles yet" | "The account is connected. Vehicles appear here after the first sync, usually within a few minutes." |
| "The telematics connection is not working" | Quanty cannot read positions; Open telematics shows why. |
| "No vehicles you can see" | "Positions follow the access to the table they are written to. Ask an organization admin for access to the Vehicles table to see them here." |
| "The fleet map is part of the TMS add-on" | The organization has no TMS add-on. |
The same map can also be a view of any table with addresses, see Fleet map and Map view.
A vehicle up close
Click a vehicle to open its detail: plate, state, speed, the last place, the driver, the time of the report and who it is assigned to.
- "This position is more than 15 minutes old: the vehicle may have moved since." when the report is older than 15 minutes.
- Show route: Last 6 h, Last 24 h or Last 3 days draws the path from the stored history ("Route drawn from 214 positions."), or "No movement in this period."; Hide route removes it. When Quanty has fewer than two stored positions for the period, it asks the provider once.
- Assign to person and Change type (admins, below).
Assign a company car to a person
For company cars, an admin can assign the vehicle to the colleague who drives it, for example someone in sales or purchasing.
- Click Assign to person (or Change person).
- Assign PO 5KM21: "For company cars: the person who drives this vehicle, for example someone in sales or purchasing." Search people, or choose Nobody.
- Read the box Location is personal data and save.
Location is personal data
"Once this vehicle is assigned to a person, its location history is that person's location history, and everyone who can open the fleet map can see it. Your organization is responsible for telling employees about this."
Only active members can be assigned. The assignment stays over syncs and is cleared when the person leaves the organization. Assigned to reads the name, Nobody, "A former member", or "A colleague" for someone who may not list the members. When the Vehicles table has a person column, the person is written there too.
Change type sets the vehicle type (tractor unit, trailer, van or car); the choice stays over syncs, and clearing it gives the type back to the provider.
The Vehicles table
When a connection writes into a table, every sync keeps one row per vehicle. Quanty finds or creates these columns, by a stable key, so renaming a column never makes it add a second one, and a table that already has matching Polish, English or German headings (for example "License plate" or "Rejestracja") keeps them:
| Column | What it holds |
|---|---|
| Plate | The plate. Filled once, into an empty cell. |
| State | Driving, Idling, Stopped or Offline. |
| Latitude, Longitude, Heading | The last position and direction. |
| Speed (km/h) | The last speed. |
| Last location | The address of the last position. |
| Position time | When the provider took the position. |
| Telematics provider, Telematics ID | Which connection and which vehicle there. |
- Plate and a vehicle type column (only when the table already has one) are filled once and then belong to whoever edits them.
- Every other column is the provider's live answer and is overwritten on each sync when its value changed. Do not edit them by hand.
- Automations of the table hear about State changes, for example "when a vehicle goes Offline".
- A sync never deletes a row or a vehicle. A row belongs to one vehicle only.
Position history and offline vehicles
- Quanty stores a point of a vehicle's route when it moved at least about 15 metres, or every 30 minutes while it stands. "Position history is kept for 90 days, then deleted."
- A vehicle the provider stops reporting turns Offline after 30 minutes or three sync intervals, whichever is longer. Any report older than 6 hours also reads Offline, whatever the provider says. Vehicles are never removed.
- Deleting a connection deletes its position history at once.
Who can see positions
There is no separate telematics permission. A vehicle's position follows the access to where it is written:
- With a destination table: whoever can read that table sees its vehicles on the map, like any other row. Others see "Some vehicles are not shown: positions follow the access to the table they are written to."
- Map only, or when the table was deleted: only organization admins see the vehicles.
Assigning a vehicle to a person does not change who sees it.
What Quanty stores
| Data | Details |
|---|---|
| Vehicle | Plate, type, name and the provider's own vehicle id |
| Current position | Latitude, longitude, heading, speed, an address and the time of the report |
| Position history | Route points on movement or every 30 minutes, kept 90 days |
| Driver | The driver name (and the provider's driver id) reported for the vehicle |
| Readings | Where the provider sends them: the odometer, the fuel level and the VIN |
| Working times | From a provider that sends them (today Inelo GBOX), see Telematics in the TMS |
| Assignment | Which person, if any, a vehicle is assigned to |
The token or password of a connection is stored encrypted and cannot be shown again.
