Differences with Marcos TMS
While Quanty runs next to Marcos TMS, the same order, contractor or vehicle can be changed in both systems. Quanty never overwrites what your team changed: when Marcos TMS says something else, the record lands in Differences, and a person decides which value is right. The same view shows the records Marcos TMS no longer has, and orders whose freight only Marcos TMS's invoice knows.
Before you start
- Differences belongs to a connection to Marcos TMS, which Quanty sets up for your organization (see TMS next to your existing system).
- Everyone in the organization sees the differences. Deciding them needs a member or admin role; viewers see the same list without buttons.
- A member limited to some TMS modules decides the differences of records in their modules: orders and contractors under Dispatch, invoices and costs under Finance, vehicles and drivers under Fleet. Entering a freight from an invoice needs Finance. Archiving a contractor that Marcos TMS no longer has needs an admin.
Open the differences
- Open TMS settings, Connections.
- On the Marcos TMS card, click Differences: 12. The card reads "Everything matches" when there is nothing to decide. The count on the card can lag up to two minutes behind.
- Differences with Marcos TMS opens; Connections at the top takes you back.
The sentence under the title says what you compare with:
| Connection | Sentence |
|---|---|
| Running | "Where Quanty says something different from Marcos TMS. Quanty keeps your value until you decide." |
| Quanty works alone | "Marcos TMS is switched off and Quanty works alone. You are comparing with the data last fetched from Marcos TMS." |
| Ended | "The connection has ended. You are comparing with the data last fetched from Marcos TMS." |
Under it you see the connection's state and last fetch, like on the card, and Fetch now for admins.
Filter by kind
Kind of record shows when there is something to choose: All, Deleted in Marcos TMS (with its count, while anything is gone), then the kinds your connection copies: Orders, Contractors, Contacts, Vehicles, Drivers, Invoices, Costs and Pallets. Pallet entries and documents are copied and counted but not compared, so Pallets shows "No differences in this kind of record."
The list shows records deleted in Marcos TMS first, then freights from invoices, then field differences. "40 of 112" and Load more page through a long list.
Field differences
Each difference is a card for one record, for example "Order 0412/10/2026", with "in Marcos TMS: 4412/10/2026" when the numbers differ and Open for orders, contractors, vehicles, drivers and invoices.
Inside, one row per field that differs, with two columns, Quanty and Marcos TMS:
| What you see | Meaning |
|---|---|
| Two values | Each system's value, for example two phone numbers. |
| "empty" | That side has no value. |
| "a different value" | Quanty could not show the other value in a readable way. |
| "Marcos TMS has a different client" (or carrier, contractor, vehicle, trailer, driver, order, value) | A link to another record that Quanty could not name. |
| "Empty in Quanty, filled in Marcos TMS" | Only Marcos TMS has a value. |
| "The route differs", "The goods differ", "The lines differ", "The details differ" with Open | A whole list differs (stops, goods, invoice lines). |
For each field:
- Keep the Quanty value: Quanty's value stays and the difference is decided.
- Take from Marcos TMS: the Marcos TMS value is written into the Quanty record.
A route, goods or lines have no Take from Marcos TMS: open the record and correct it there.
Quanty keeps your value
Until someone decides, the Quanty record keeps the value your team entered. Nothing is overwritten by a fetch.
Records deleted in Marcos TMS
A record Marcos TMS no longer has is never deleted by Quanty. It gets the amber mark Deleted in Marcos TMS in the lists and on its card, and a row in Differences: "Order 0412/10/2026 no longer exists in Marcos TMS.", "Missing from Marcos TMS since 28.10.2026", and "Cancelled in Quanty" or "Archived in Quanty" when it already is.
| Kind | Choices |
|---|---|
| Orders | Keep in Quanty or Cancel in Quanty. |
| Contractors | Keep in Quanty or Archive (an admin). |
| Vehicles, drivers | Keep in Quanty or Archive (set to inactive). |
| Invoices, costs | Keep in Quanty. |
A record already cancelled or archived offers only Keep in Quanty. Contacts are never marked as deleted.
Cancel in Quanty asks "Cancel order 0412/10/2026 in Quanty?": "This order is no longer in Marcos TMS. Quanty keeps it as cancelled, with its history and documents." The Reason is filled in as "Deleted in Marcos TMS" (at most 300 characters); Cancel the order confirms. An invoiced order is not cancelled here: "An invoiced order is not cancelled here. Correct the invoice first."
When is a record marked: only after Quanty has read all of Marcos TMS in full, which happens once a day. A record that shows up in Marcos TMS again loses the mark. When an unusually large part of one kind disappears at once, Quanty does not mark it and notes it in the fetch instead. With nothing gone: "Nothing has disappeared" and "Every copied record is still in Marcos TMS."
Freight from an invoice
A copied order without a freight whose copied sales invoice names an amount shows: "Freight on invoice FV0412/10/2026: 4 200,00 EUR. The order has no freight." (the invoice number opens the invoice).
- Enter the freight from the invoice writes the amount into the order (needs Finance).
- Leave as it is keeps the order without it.
What cannot be taken in one click
Some values cannot go from Marcos TMS into a Quanty record by one click; open the record and correct it by hand:
- a route, goods or invoice lines;
- an order status that would move backwards, or out of cancelled;
- a cancellation of an order that is already invoiced;
- the money fields of a cost already approved, in a transfer batch, paid or rejected;
- anything on an invoice Quanty issued itself;
- a link to a record or a person your organization does not have.
| Message | Meaning |
|---|---|
| "This part cannot be taken from Marcos TMS in one click. Open the record and correct it by hand." | A route, goods or lines. |
| "The record cannot take this value from Marcos TMS as it is now. Open the record and correct it by hand." | The record's state does not allow it. |
| "This difference is no longer there. The list has been refreshed." | Someone decided it, or a fetch changed it. |
| "The decision could not be saved. Try again." | Saving failed. |
| "Quanty cannot cancel this order (for example, it is invoiced already). Open it and decide there." | Cancel in Quanty refused. |
| "Quanty cannot archive this record while it is still in use. Open it and decide there." | Archive refused. |
Good to know
- When nothing differs: "Everything matches" and "Quanty and Marcos TMS say the same about every copied record."
- Differences cover the 5 000 most recently seen records of each kind.
- After Quanty works alone or the connection ends, the view stays: you compare with the data fetched last and can still decide.
- A contractor's NIP, e-mail and phone are never overwritten by a fetch; a change in Marcos TMS lands here.
- The assistant in chat can list the differences and, with your approval card, decide one (see TMS in chat).
