To check and To do
The To do tab of Pallets is one queue of everything that waits for a person: the messages drivers sent, calendar entries added without a receipt, discrepancies and missing receipts. Its count next to the tab name adds them up. To check is the queue's first filter and the status of each item that waits for your look; once you confirm, the entries go into the calendar and the balances.
This page explains the list, a message and the receipt viewer, confirming, correcting and rejecting, the sure ones, entries without a photo, discrepancies and reminders for missing receipts.
Before you start
- Everyone can read the queue. Confirming, correcting, rejecting and reminding needs a role that may change TMS data (a member with the Dispatch module, or an admin); a viewer reads "You can view messages; approving needs edit rights."
- Messages arrive only once the channels work (see Pallet receipts from drivers). Until then the tab says "Drivers cannot write to Pallets yet" with Set up channels, and you can still Log a call or add a receipt yourself.
The queue
The left side lists what waits; the right side shows the chosen item. Approving moves on to the next waiting message by itself.
At the top
- Live: the list refreshes by itself ("Live, checked 4 s ago"), every few seconds while the AI is reading.
- The total: "3 messages", "2 entries", or Nothing waiting.
- To check (with the number waiting), Confirmed and Rejected: which messages to show. Show older loads more.
- Search driver, truck, order, text searches every message, whatever its status.
- Filters: Channel (WhatsApp, E-mail, Phone and SMS, Added manually, Test), Only AI unsure and Only with a photo; Clear filters.
- Confirm the sure ones (N): see Confirming the sure ones.
The pinned groups
Above the messages, each only while it holds something:
| Group | What is in it |
|---|---|
| Calendar entries to check | "From quick entry, import, a call": entries with the status To check that came without a driver's photo. |
| Discrepancies | "The numbers do not match, explain them". |
| Missing receipts | "The swap happened, the receipt has not come". |
The messages
The messages are grouped by day (Today, Yesterday, then the weekday and date). Each row shows the sender's initials and channel, a thumbnail, the start of the text (or Photo without text), "2 photos + text", one status and at most one hint: Photo did not arrive (shown for any problem taking the message in, such as a missing photo, a file left out, or a sender number that differs from the driver's card), Differs from the order (the reading has a warning) or AI unsure. Several photos from one driver within three minutes form one row. Unread marks what you have not opened yet, and a pill says when new messages arrive above.
When the AI found that some messages are not about pallets, a strip says so ("The AI found 2 messages are not about pallets.") with Show.
The status of a message
| Status | What it means |
|---|---|
| Waiting to be read | Not read yet: the driver sent more than 30 messages in an hour. Read again with AI reads it. |
| AI is reading… | The entries appear in a few seconds. |
| To check | Read; waits for you. |
| Confirmed | Its entries are in the calendar. |
| Rejected | Nothing was added; the reason is kept. |
| Could not read | Try again, or enter the entries yourself. |
| Not about pallets | The AI found nothing about pallets. |
A test message carries a Test badge: "Test data: does not count in the balances".
A message
The chosen message reads from left to right: what the driver sent, then what goes into the calendar, then the button.
What the driver sent
- The receipt large on a dark background, with a strip of all photos. Rotate (R) turns it, Full screen (F) opens the receipt viewer, Open file opens the original in Files.
- The text as a bubble ("The driver wrote:"), the e-mail Subject, or the call ("Phone call, noted 14:20").
- A photo that did not reach Quanty says so: "This message has no photo of a receipt." Copy a request to the driver copies "Hello, the photo of the receipt did not reach us. Please send it again. Thank you!"
- Previous message from this driver and Next message from this driver step through one driver's messages.
Going into the calendar
The right side, Going into the calendar, starts with one sentence of how it was read: The AI read:, "Read from the text by rules, without AI.", or "Nobody has read this message yet" (with Read with AI and Add an entry by hand). Then one card per entry:
- The card as it will look in the calendar and the entry in plain words: "Unloading · 33 EP · pallet exchange: yes · 30 given back", Order 16027/2026, Note:.
- How sure the reading is: nothing when sure, Check, or Unsure, check ("The AI is 72% sure").
- On the receipt: the quote the entry comes from.
- Warnings sit on the card they concern, often with a quick fix: Keep 27 or Use 33.
- What the entry does: Completes the calendar entry of 08.10 or New entry in the calendar, with Now: and After approval:. Link to an entry (or Change link) picks another entry of this truck ("Entries of this truck from 06.10 to 10.10. Pick the one this message completes."); Unlink creates a new entry instead.
- Correct opens the fields: What happened, When, Truck, Where / with whom, Order, Pallet exchange, How many pallets, How many given back ("Empty = the same."), Damaged / Refused, Pallet type, Note, and Discrepancy (red in the calendar). Done closes them.
- Do not add leaves the entry out (Not added: with Restore).
Add an entry by hand adds a card the AI did not find.
Confirm, correct or reject
The footer stays at the bottom:
- Note for the history (optional), for example "confirmed by phone".
- When something is missing, it says what: "Fill in the date in entry 1." or "Tick at least one entry, or reject the message."
- Approve and add N (Ctrl+Enter) adds the ticked entries to the calendar ("3 entries added to the calendar. They already show in the calendar and the balances."). Then the next one opens the next message to check afterwards; Shift+Ctrl+Enter approves and stays.
- Reject opens the reject dialog.
The ⋯ menu (More) has Fix truck, driver or order ("Who it is from and which truck and order it is about. Entries you already corrected stay."), Read again with AI and Reject; a closed message offers Reopen ("The message is waiting to be checked again"). Reopening leaves the entries it added in the calendar.
Rejecting
"Nothing will be added. The message moves to "Rejected" with your reason." Pick the Reason: Not about pallets, Duplicate, Bad photo, will ask for a new one or Test, add Anything else? (optional), and click Reject. A message the AI marked as not about pallets has a one-click Not about pallets, reject.
When two people work the queue, Quanty protects the entries: "Someone changed this calendar entry in the meantime. We now show its current version and kept your corrections: check and approve again." A message someone else already closed says so.
Keyboard
| Key | What it does |
|---|---|
| J or ↓ / K or ↑ | Next / previous message |
| Ctrl+Enter | Approve and move on |
| Shift+Ctrl+Enter | Approve and stay |
| E | Correct the first entry that needs it |
| 1 to 9 | Add or skip entry 1 to 9 |
| X | Reject |
| R | Rotate the photo |
| F | Photo full screen |
Confirming the sure ones
Confirm the sure ones (N) confirms, after one question, the messages the AI (or the rules) read sure and clean: "The AI read these receipts sure and without a single warning". A message counts as sure when it waits for a check, comes from a real driver (not a test), has 1 to 3 entries each read at least 90% sure, carries no warning and no discrepancy, and every entry is complete. Each goes into the calendar as it reads in the message, and you can reopen any of them later. When some fail, Quanty says "Confirmed 5, 1 need your look".
Nothing is confirmed without your click here. To let clean receipts confirm themselves, see Who confirms.
Calendar entries to check
"These entries were added without a receipt photo (quick entry, import, a call). Confirm the ones that are right." Each row shows the truck, the entry and where it came from. Confirm confirms one; Confirm all (N) confirms them all. Click a row to open the entry in the calendar.
Discrepancies
Discrepancies to sort out: "Entries where something does not match (e.g. the receipt says 27, the order 33)." An entry becomes a discrepancy when someone marks it (Discrepancy in the side panel, the Discrepancy (red in the calendar) box on a card, a red cell in an imported calendar, or the colour word "red"). It is red in the calendar and counts in no balance until it is cleared up.
Open opens the entry: correct what is wrong and click Cleared up, confirm.
Missing receipts
Missing receipts lists "Swaps that happened, but the driver has not sent the receipt photo yet", one row per driver (truck) with the driver's phone (or No phone number), the entries as calendar cards, how many days the oldest one waits (for example 8 days), Remind and Put off.
An entry is listed when its day is at least the number of days set in Automatic ago (When the receipt is missing after N days, 1 by default, 0 to 60) and it is Receipt missing, or a planned loading or unloading with a swap and no count. Test entries are never listed.
Remind
Remind opens Message under the row, in your app language: "Hello Jan, please send us a photo of the pallet receipt for: 08.10 r. 33 EP Mleczarnia. Thank you." You can change the text, then:
- Send by WhatsApp sends it to the driver ("Sent by WhatsApp"). The row then shows "Reminded today at 14:20".
- Copy or Copy and close puts it on the clipboard: "Copied. Send it from your phone."
A WhatsApp reminder is a paid message (about 7 credits). When WhatsApp cannot be used, the row says why and the text stays ready to copy:
| Why | What Quanty says |
|---|---|
| The driver has not written for more than 24 hours | "WhatsApp then only allows a ready template, so copy the text and send it from your phone." |
| No WhatsApp number | "WhatsApp is not connected to Pallets." |
| No phone number | "This driver has no phone number in the TMS. Copy the text, or add the number in Drivers." |
| No country code | "This driver's number has no country code, so it is not known whose number it is. Add it in Drivers (e.g. +48 600 100 200 or +380 50 123 45 67)." |
| A wrong number | "This driver's number cannot be used for WhatsApp. Fix it in Drivers (with the country code, e.g. +48)." |
| Reminded a moment ago | "This driver got a reminder a few minutes ago. Wait a little before sending another one." (one per driver every 10 minutes) |
| Not enough credits | "Sending WhatsApp messages needs more credits." |
The phone number is the one on the driver's card in People (Fleet in the TMS rail).
Remind everyone and Put off
- Remind everyone (N) reminds every driver in the list, one after another, and sums it up: "Sent: 4. To copy: 1. Failed: 0." A driver is never reminded twice at once.
- Put off hides a row for 1, 3 or 7 days ("Put off by 3 days"), for example when the driver is on leave.
During a parallel run with Marcos TMS
While Quanty runs next to Marcos TMS, it does not write to drivers about entries copied from it: "These entries come from the system running next to Quanty (e.g. Marcos TMS). While it runs, Quanty does not write to the driver about them." When the parallel run covers your whole organization, no reminder goes out, also about entries made in Quanty: "Quanty works next to Marcos TMS for this organization, so it writes to no driver, also about entries made in Quanty, until Marcos TMS is switched off." The connection card can keep "pallet reminders to drivers" among what Quanty still sends; Quanty sets this up for your organization, so ask us. See TMS next to your existing system.
Suggestions moved to Balances
The suggestions for the next trips (give back, collect, balances that cancel out) and the day report are on the Balances tab, next to the balances they come from. See Suggestions and the day report.
Good to know
- Quanty sends no reminders by itself: a reminder goes only when someone clicks Remind or Remind everyone, or asks the assistant in chat to send one (see TMS in chat).
- A rejected message adds nothing; reopen it to check it again.
- Test messages show in the queue with a striped band and a Test badge, never count, and never get a reminder.
