TMS reports

Reports covers "Turnover, margin, fleet and compliance, from the same orders and costs". Every report is built from the orders, invoices, carrier costs, fleet costs, fuel and set history you already keep in the TMS, so there is nothing to prepare or upload. Pick a report, pick the period, read the chart and the data, switch to Pivot for your own breakdown, and export it to Excel or CSV.

Before you start

  • Reports is part of the TMS add-on: the last row of the TMS rail.
  • Everyone in the organization can open every report, viewers too. Reports change nothing.
  • Money is counted in PLN at each order's own frozen rate. Some reports need data you keep elsewhere: fuel from fuel cards, km from telematics, the own-cost rates from TMS settings, Own fleet cost.

The catalogue

The Reports catalogue.
The Reports catalogue: cards grouped under Sales, Fleet and Compliance, such as Daily turnover, Turnover by client, Fleet costs, Driver profitability and ADR yearly

The reports are cards in three groups. Click a card to open the report; Cmd+click or Ctrl+click opens it in a work tab next to what you have open.

Sales

ReportWhat it shows
Daily turnover"Revenue, costs and margin day by day, with the number of orders."

Vehicle month"Which drivers and trailers each tractor ran with, day by day, with km, crossings and fuel."
Order margin"Margin of every order; orders with a missing cost are marked, never shown as zero."
Driver profitability"Freight minus own cost per driver, with km and margin; an order with two drivers is split in half."
Set profitability"Revenue, own cost and margin of each set (tractor, trailer, drivers) while it ran; every order counted once."
Own cost of orders"Fuel, driver hours, tolls and wear of each own-fleet order, next to the own cost the order holds."
Costs by cost centre"Approved cost invoices by their cost centre and vehicle costs by the vehicle's, by category, with costs without one."
Materials used"Who took how much from the parts store and what it cost: per person, vehicle and item, returns counted back."

Compliance

ReportWhat it shows
ADR yearly"Dangerous goods carried in the year by class and UN number, with what is missing."
Environmental fee"The yearly fuel fee per vehicle: litres, tonnes and the rate; a missing rate is shown, never as zero."
Receivables ageing"Open invoices per client, by how late they are."
Limits and exposure"What each client owes now against its credit limit and the insurer's limit, and how much is not insured."
Carbon footprint (CO2)"CO2e of delivered orders by client and by month, with what was measured and what was estimated."

Open a report

A report: the filters, the chart and the data.
The report Turnover by client: Period, Date by, Branch and Execution on top, the chart, and the data with client, orders, revenue, cost and margin
  1. Set the Period: This month, Last month, This quarter, This year or Custom with From and To. Yearly reports (ADR yearly, Environmental fee) ask for a Year, and Receivables ageing for As of.
  2. Where the report has them, narrow it down:
FilterChoicesExample
Date byLoading, Unloading or Order created: which date of an order puts it in the period.Loading
BranchAll branches or one branch.Poznań
ExecutionAll, Own fleet or Subcontracted.Own fleet
Driver / vehicleDriver month, Vehicle month and Materials used can show one driver or vehicle, or Everyone / Every vehicle.Marek Zieliński
  1. Read the Chart (for example "Orders per day" and "Amounts in PLN") and the Data below it, with "245 rows" and the Total line.

When the period has nothing: "No data in this period. Try a longer period or another date basis."

Incomplete orders

An order without its freight in PLN, or without its cost, is Incomplete. It is never counted as zero:

  • the data marks it Incomplete with what is missing ("no carrier cost in PLN", "no order km", "no fuel");
  • the margin sums only the complete orders: "3 of 41 orders are incomplete; the margin sums only the 38 complete ones." and the chart says "The chart leaves out incomplete orders (3): their margin is not known yet.";
  • Order margin lists Orders with the lowest margin first.

Reports with the own cost (Driver profitability, Set profitability, Own cost of orders) say where the own cost comes from: typed, km × fleet cost or from components (see TMS settings). "An order with two drivers is split in half: freight, own cost and km." "When sets overlap, the order goes to the set that started last before its loading, never to both."

Checks inside reports

Some reports end with what needs fixing before you rely on them:

  • ADR yearly: Missing ADR details: "Orders with a SENT number or ADR goods where class, UN number or packing group is missing. Fill these in before the yearly report goes out." Or "Every ADR order is complete."
  • Border crossings: Crossings no set explains ("no set at that time", "set without a driver"). Crossings need telematics; without it "Border crossings are not available yet. They appear once telematics positions are analysed."
  • Driver month and Vehicle month: "To check: 4. The rows below say which." or "Everything adds up: every order sits on its set and every crossing has a driver."

Pivot

A report in Pivot.
Turnover by client for the quarter in Pivot: Rows, Columns, Measure and How, with Sum, Count or Average, and the pivot table with totals

Every report with data switches between Table and Pivot under View.

  1. Choose Rows (for example the client) and Columns (for example the month, or No columns).
  2. Choose the Measure (for example the margin, or Number of rows) and How: Sum, Count or Average.
  3. The pivot shows at most 50 rows and 50 columns. Beyond that the largest are shown and the rest goes under Other: "The 49 largest are shown; the rest (12) is under Other." Each row and column has its Total.

"This report has no columns to pivot." appears on a report without suitable columns.

Export and ask Quanty

  • Export: Excel (XLSX) or CSV of the report as it is filtered.
  • Ask Quanty about this report opens the chat with "Look at the Turnover by client report for 01.10.2026 to 31.10.2026 and tell me what stands out and what I should check." In Pivot it sends the pivot too ("Pivot: Client × Month, Sum of Margin"), up to its first 20 rows and 12 columns. It needs AI for your organization and uses credits like any chat (see TMS in chat).

The carbon footprint

Carbon footprint (CO2) counts the CO2e of delivered orders, by client and by month.

  • Client narrows it to one client or All clients. On top: CO2e in the period with the number of delivered orders, and kg CO2e per tonne-kilometre (only for orders with a cargo weight).
  • What the figure stands on: "Measured from fuel: 12 (30%)", "Estimated from kilometres: 25 (62%)", "No figure: 3 (8%)". A figure from kilometres is an estimate (kilometres times the fuel norm), and the report says so: "Say so when you pass it to a client."
  • The factor line names the Emission factor and the fuel norm. The default 3.17 kg CO2e per litre is marked to verify: "This is the default value for diesel (B7), not a legal constant. Confirm it with your auditor or fuel supplier and set your own before figures go to a client." Change in settings opens the TMS settings, where an admin sets the factor and the fuel norm in Documents and costs.

Good to know

  • One report reads at most 25 000 orders; with more, it asks you to pick a shorter period or a branch. Order margin takes periods shorter than 366 days.
  • Amounts without a frozen PLN rate are left out of PLN sums and counted in a note ("2 orders without a PLN amount are left out of the sums (their rate was never frozen).").
  • "Own-fleet orders carry no carrier cost here; see fleet profitability and order margin for them." (in turnover by carrier and client).
  • Limits and exposure is "As of today: confirmed orders not invoiced yet and unpaid invoices, the same as on the client card."
  • The Environmental fee shows no rates for a vehicle until an admin types the year's rates.
  • If a report cannot be built: "This report could not be built."

Same numbers everywhere

My work, the client card and the reports read the same records. If a report and a card disagree, one of them is filtered (period, date basis, branch or execution).
