Tracking and the vehicle board
Operations, Tracking answers two questions: where are the orders on the road and will they be on time (Orders), and what is each of my tractors doing right now (Vehicles). Late orders come first, every row says where its expected arrival comes from, and from here you send the client a tracking link or the carrier its link.
Before you start
- Your organization has the TMS add-on. Open Operations, Tracking in the TMS rail; the sidebar badge counts the late orders.
- Positions, the truck's own ETA, driving times and fuel need telematics (see Telematics (GPS)). Without it the board still lists the orders and Quanty estimates arrivals where it can.
- Everyone in the organization can look at tracking. Recomputing an ETA and making links needs a role that may change TMS data with the Dispatch module.
Orders
"Orders in progress: where they are and whether they will be on time". The board lists the orders that are Planned or In progress, the most late first, then by their next time window. "Updated 10:42" says when it was last refreshed; it refreshes by itself every minute.
At the top, three counts: on the road, late (click it to show only the late ones) and no position.
Search and filters
- Order, client, plate or driver also finds the carrier, the references and the route.
- Mine ("Only my orders": orders you handle), Late ("Only late") and Who drives (Own fleet or Carrier).
- View: List or Map.
A row
| Part | What it shows |
|---|---|
| The number, the client and the route | With a dot in the order's lateness colour. |
| ETA | "today 14:30", "tomorrow 08:10" or a date, with from the truck when the truck's own computer gave it; no ETA when there is none. |
| The delay | "delay 45 min" when the forecast says it will arrive late; "2 h past the window" when a window has already closed and the order did not move on. |
| The vehicle | The plate and the driver, or the carrier. |
| Progress | "2/3" and the next stop, for example "Unloading Lyon". |
| Chips | no position, Documents with their state, Carrier confirmed or Carrier not confirmed, and Client link ("The client has an active tracking link"). |
When more orders are on the road than the board shows: "Showing the 200 most urgent of 260. Narrow the list with the filters."
Late
An order is late when:
- its expected arrival reaches a remaining stop after that stop's window closes (or after its start, when the window has no end); or
- its own status says a window was missed: not loaded after the first loading window closed, or not delivered after the last unloading window closed.
A delay is amber, and red from one hour on. On the map: On time, Late and More than an hour late.
The order on the map
Click a row to open Order on the map:
- Expected arrival with its source under it, Still to go (the remaining kilometres), Last position ("Poznań, 12 min ago", or On the map when the place has no name; the age turns amber from 30 minutes) and the Vehicle or Carrier.
- Stops: planned and actual: each stop with Planned and Arrived times, "no time set", "skipped" or "not yet".
- Recompute ETA works the arrival out again now: "ETA recomputed: today 14:30."
- Send the client a tracking link and, on a carrier order without a link, Send the carrier a link (below).
- Open the order opens the order card.
A carrier order has no position: "A carrier drives this order, so we do not see the truck. Send the carrier a link to confirm the truck and the driver." (or "…The carrier already has a link."). An own-fleet vehicle without a position: "This vehicle has not reported a position yet. Check its telematics link in Fleet."
See also the fleet map, which shows all vehicles at once.
Where the ETA comes from
| Source | When |
|---|---|
| "ETA from the truck's own computer" (from the truck) | Your telematics sends the truck's own arrival time (GBOX and Eurowag do), its position report is less than 15 minutes old, and the order is the one the truck is driving now. It gives the arrival at the next stop; Quanty chains the remaining stops from there. |
| "ETA estimated by Quanty from the last position" | Every other case. Quanty takes the distance from the last position (the road distance of the last truck route, else the straight line times 1.25), drives at 65 km/h, adds a 45-minute break every 4.5 hours of driving and an 11-hour rest after 9 hours, 45 minutes at each stop, and waits for windows that have not opened yet. |
Quanty works the ETA out again at most every 30 minutes by itself; Recompute ETA does it now and asks the truck router once for the road distance. An ETA older than 3 hours no longer counts for lateness.
| Message | Meaning |
|---|---|
| "There is no position for this vehicle, so the ETA cannot be computed." | No telematics position for this order's vehicle. |
| "This order is not on the road, so there is no ETA." | The order is not planned or in progress. |
| "The ETA could not be recomputed. Try again in a moment." | Try again. |
Links from tracking
Send the client a tracking link opens Tracking link for the client: "The client sees the status, the stops with planned and actual times, the expected arrival and a rough position. No prices, no carrier and no driver details." Send the carrier a link opens Link for the carrier: "The carrier sees the order, confirms it with the plate and the driver, and uploads the documents (CMR, proof of delivery, invoice) from a phone."
- Pick the Language of the page: Automatic (the client contact's language, or the carrier's), Polish, English or German.
- Click Create the link.
- Copy the address (Copy) or open it (Open the page in a new tab): "We show this link only once. Copy it now; if it gets lost, create a new one."
The link works for its default time (14 days after the last unloading for the client, 60 days for the carrier). "This order already has an active link. A new one does not turn the old one off." To set another validity or revoke a link, use the order's Sharing (see TMS links for clients, carriers and drivers).
Vehicles
Vehicles is the board of your own fleet: "Every tractor live: its order, position, driving time and month". It has one row per tractor and solo truck that is active or in the workshop, with the counts Vehicles, On the road and Idle at the top. It refreshes every minute.
| Part of a row | What it shows |
|---|---|
| The vehicle | The plate, the trailer and the first driver of its current set. |
| The order | Now (the order in progress) or Next (the next confirmed or planned order within 30 days), its number, the next stop and the ETA (with from the truck); a delay when late. |
| No order | No order and how long the tractor has been idle: "Idle for 3 days", "Free today", or "Idle for over 90 days". Idle days count from the end of its last order. |
| Where | The last position and how old it is ("10 min ago"; amber after 2 hours), or No position. |
| Driving time | "4 h of driving left · read 20 min ago", for the first driver, where your telematics sends it and Keep drivers' working times is on (below). |
| Fuel | "Fuel 64%", or in litres when the percentage is not known. |
| Month | The freight and the km of this month ("48 200 PLN this month", "9 840 km this month"), with last month's under them. |
| Watch | The nearest deadline ("Insurance 15.11.2026", "Inspection …", "Tachograph …"), the drivers' next absence ("Absent from 10.11.2026") and the open issues ("2 issues"). |
Coloured dots mark Late (red from two hours), Idle over 2 days (three days or more), Deadline soon (within 14 days) and Deadline passed. Rows run late first, then on the road, then idle (longest first), then with a next order, then the rest.
A tractor with no order now and none coming has Plan, which opens the planner on that tractor (see Planner).
Without a telematics connection the board says "Connect telematics to see the vehicles live." with Connect telematics, and still lists the fleet.
Settings that shape it
TMS settings, Connections, Drivers and routes (only organization admins change it: "Only organization admins change this."):
| Setting | What it does | Default |
|---|---|---|
| Keep drivers' working times | "The remaining driving and rest times your telematics sends are kept on the vehicle (personal data of the driver). Off: only the daily summary is kept." Switching it off also removes the kept times at once. | Off |
| Avoid ferries | Calculate route on the order avoids ferries. | Off |
| Countries to avoid | Two-letter codes separated by commas, for example CH, AT (the United Kingdom is GB). | None |
The automatic actions Route stops from GPS, Long stop and Delays decide whether stops are ticked off by GPS and whether late orders and long stops open issues (see TMS overview).
Good to know
- Confirmed orders without a vehicle are not on the tracking board yet; plan them first.
- The positions of carrier trucks are never shown: Quanty only sees your own fleet.
- The client's tracking page shows a rough position, never the exact one (see Pages for the client).
Who can do this
Viewers see both boards and the order on the map; Recompute ETA and the link buttons are disabled for them. Links belong to the Dispatch module.
