Pallet balances
The Balances tab of Pallets answers two questions: who owes pallets to whom, and which truck carries too many or too few empty pallets. Quanty never stores a balance as a number someone typed. It works every balance out from the entries each time, so a balance always matches the calendar, and Balance history shows exactly which entries it comes from.
This page covers the tab, the history behind a balance, setting the opening stock, settling with a partner, merging partner names, the suggestions and the day report, comparing with your own sheet and exporting.
Before you start
- Everyone in the organization can read the balances, open a balance history, copy a statement, compare with a sheet and export.
- Set stock, Settle, Rename or merge and Names and duplicates change data, so they need a role that may change TMS data (a member with the Dispatch module, or an admin). See Pallets overview.
- The balances come from entries. If you are starting with Quanty, set the opening stock of your trucks and partners first (see Set stock), or import your old calendar (see Adding pallet entries).
The Balances tab
From top to bottom:
- Balance on: the day the balances are counted for, today by default. Entries up to and including that day count. Pick an earlier day to see the state then; a day in the future cannot be picked.
- Which entries count: Confirmed only or With pending (see Confirmed only or with pending). The (i) next to it opens How to read the balances.
- Four tiles that never net anything against each other: They owe us (and in how many companies), We owe, Extra on trucks and Missing on trucks (and on how many trucks). Click a tile to show only those rows ("Only: they owe us"); Show all removes it.
- A warning when some entries change a partner balance but have no partner: "N EP without a partner. These entries change a partner balance, but nobody typed the company." Show entries lists them so you can add the company.
- Partners or Trucks, each with its count, the search (Search a company, Search a truck or driver) and, on Partners, Names and duplicates.
- The table, with Total at the foot.
- Beside the table: Suggestions and Day report (see Suggestions and the day report).
The partners table
| Column | What it shows |
|---|---|
| Partner | The company. |
| Who owes whom | The balance as a sentence: "Owes us 6 EP", "We owe 10 EP" or "Settled". |
| Balance | The number with a bar: "+ they owe us, − we owe". |
| After checking | Shown when entries are still waiting: what the balance becomes once they are confirmed. |
| Other pallets | CHEP, DPL, H1, Gitterbox and other pallets, each as its own chip. |
| Through which trucks | The trucks whose entries make up the balance. |
| Last movement | The date of the latest entry. |
The foot sums it up, for example "They owe us 48 EP (5 companies)" and "We owe 12 EP (2 companies)".
The trucks table
| Column | What it shows |
|---|---|
| Truck and Driver | The plate and the driver. |
| Empty pallets | In words: "12 EP extra", "11 EP short" or "Nothing extra or missing". |
| Stock | The number: "+ extra, − short". |
| After checking, Other pallets | As for partners. |
| Last entry and Entries | The latest entry and how many entries count. |
Click a row to open its Balance history. The row menu (More actions) has Balance history, Set the balance, and for partners also Settle and Rename or merge.
How a balance reads
- A partner: "The dairy owes us 6 EP" means that at the swaps they gave us fewer empties than we gave them. "We owe the wholesaler 10 EP" is the other way round. Settled means nobody owes anybody.
- A truck: "12 EP extra" means the driver carries more empties than he should and can hand them back. "11 EP short" means he is missing empties and should collect them.
- Each pallet type is separate. The main figures are Euro pallets (EP); Other pallets: under the tiles sums the other types ("they owe us 4", "2 extra on trucks").
- Your own yard (the base named in the General settings) is listed with the partners, so its figure is the pallets lying at your yard. It is never a target of the suggestions, and the day report shows its stock on its own line.
Confirmed only or with pending
- Confirmed only (the default): only confirmed entries count.
- With pending: entries To check and entries waiting for a receipt (with their numbers known) are added too. "Checked only: confirmed entries count. With unchecked: entries to check and entries waiting for a receipt are added too."
With Confirmed only, a note says how many entries wait for a check and "may change these figures", with Show with unchecked. Planned entries, cancelled entries and test entries never count in either mode.
Balance history
Balance history shows the entries behind one truck's or one partner's balance. Open it from a row of the table, from the row menu, or by clicking a plate in the calendar.
- The top shows Balance on today's date and, when entries wait, "After checking the entries: …".
- Period: 30 days, 90 days (the default) or 12 months, and the pallet type (Euro pallets (EP) first). With unchecked adds the entries still waiting.
- The table lists Date, Entry, Change and Balance after, newest first, under a first line Now with today's balance. Each entry says whether it Counts, Counts once checked or Does not change the balance, and how many receipts it has. Click an entry to open it.
- The last line is the balance At the start of the period.
- The sign is explained under the table: "+ the partner owes us, − we owe the partner" or "+ extra empties on the truck, − empties missing".
- Copy the statement copies a plain-text statement ("Pallet statement: …") with the opening and closing balance and every entry, ready to send to a partner.
- Set the balance and, for a partner, Settle open the dialogs below.
When a long period holds very many entries, the drawer says "Showing N of M entries. Pick a shorter period to see them all."
Set stock
Set stock (from a truck's menu in the calendar) or Set the balance (from the balances) writes what a truck or partner must have on a day. You type the target; Quanty books the difference.
| Field | What it means | Example |
|---|---|---|
| For | Truck or Partner. Opened from a row, it is filled in (This truck, This partner). | Truck |
| Truck (plate) or Partner | Which truck or company. | PK3108N |
| On the day | "Entries before this day count; the correction is dated on it." | 01.10.2026 |
| Empty pallets on the truck | Extra, Short or Zero. For a partner: Who owes whom, They owe us, We owe them or Settled. | Extra |
| How many pallets | The target, 0 or more. | 32 |
| Pallet type | Which balance. | Euro pallets (EP) |
| Note | Kept on the correction; "Opening stock" by default. | Opening stock |
Under the fields Quanty shows the current balance (Now) and After saving, and the correction it will book: "Quanty books a correction of +5 EP dated 01.10.2026." The correction is the target minus the confirmed balance before that day. When the balance already is what you typed, it says "The balance already is that. Nothing will be booked." Save the balance writes the correction as a confirmed Stock correction entry, visible in the calendar and in the balance history. Setting the stock again for the same truck or partner, pallet type and day replaces the earlier opening correction of that day instead of adding a second one.
Starting with Quanty
Set the opening stock once for every truck and partner, on the day you start counting in Quanty. The balance of a truck imported from an old calendar can come out very high or very low, and the calendar marks such a truck with a question mark until it has an opening stock.
Settle a partner
Settle (in a partner's row menu or balance history) records that the pallets came back, or that you settled with money.
| Field | What it means | Example |
|---|---|---|
| How | With pallets or With money. | With money |
| Pallet type | Which balance. | Euro pallets (EP) |
| Who gave pallets back | They gave back to us or We gave back to them. With money: Who paid, They paid us or We paid them. | They paid us |
| How many pallets | Filled in to settle the whole balance ("Change the number for a part"). Must be above zero. | 12 |
| Amount and Currency | With money only. Currency EUR (default), PLN, CZK, HUF, GBP, CHF, SEK, DKK, NOK or RON. | 180, EUR |
| Date | The day of the settlement. | 30.10.2026 |
| Note | For example the invoice number. | invoice 12/2026 |
If the number is larger than the balance, Quanty warns: "This number is larger than the balance, so after saving the sides swap. Check the number." Save the settlement books one confirmed correction of the partner balance (no truck stock changes) and says what the balance is now. The amount and currency are kept on the entry for your records; Quanty does not invoice them.
Names and duplicates
The same company often appears under several spellings. Names and duplicates (on the Partners pane, or Rename or merge in a row menu) fixes that.
- Rename: type the New name and Save. The name changes on every entry of that partner.
- Merge: tick two or more companies ("Tick two or more companies to merge them"). Under Merge the selected (N) choose Keep the name of one of them, or Or type a new name. The preview says what the merged balance will be ("After merging: …"). Merge gives the entries the new name, and "We remember the old names, so new entries with them land here." A merged partner shows its old spellings as Also as:.
A merge cannot be undone from the app, so check the preview before you click Merge. Quanty also matches names loosely by itself: letter case, Polish and German diacritics and legal forms such as "sp. z o.o.", GmbH, S.A. or B.V. are ignored, so "Mleczarnia Sp. z o.o." and "MLECZARNIA" are already one partner.
Suggestions and the day report
Beside the balances table:
Suggestions ("What can be done with the pallets on the next trips") proposes:
| Suggestion | When Quanty proposes it |
|---|---|
| Give back | A truck with extra empties has an entry in the next 21 days at a partner we owe pallets to. The number is the smaller of the two. |
| Collect | A partner owes us pallets and a truck has an entry there in the next 21 days. |
| Balances cancel out | At one partner, one truck brought in pallets and another took them out, so the two settle each other. For information only. |
| Receipt missing | A swap still waits for its receipt (see Missing receipts). |
Suggestions are counted from confirmed entries only. Your own base is never a target, and neither are entries without a partner.
Do it ("Adds a planned entry to the calendar") is offered for Give back and Collect; the suggestion then reads Planned. Hide removes a suggestion ("Suggestion hidden"), and Show in the calendar or Open the entry takes you there.
Day report is "A summary in plain sentences, to paste into a message": what is in the calendar today, what waits to be checked, new messages from drivers, missing receipts, discrepancies, who owes whom, the stock of your base, and the trucks with extra or missing empties. Copy the report puts it on the clipboard. The report text is written in Polish, whatever the app language.
Compare with the sheet
While you still keep your own pallet sheet next to Quanty, compare the two once in a while. Open More (⋯ in the page header), Compare with my sheet.
- Drop your pallet calendar (Excel .xlsx or OpenDocument .ods, up to 10 MB, laid out like the calendar import: dates in the first row, trucks in the first column) or choose it from the disk. "We count the balances from the sheet and compare them with Quanty over the same days. Nothing is saved."
- Quanty says which days the sheet covers and then, in one sentence, what differs, for example "3 partners differ and 1 truck differs", or "Everything matches. The balances in the sheet are the same as in Quanty."
- Partners that differ and Trucks that differ list only those rows, with In the sheet, In Quanty and Difference ("the sheet has 3 EP more"), marking rows only in Quanty or only in the sheet. It also counts the cells it could not read; the lines Entries only in the sheet and Entries only in Quanty count the partners and trucks that appear on one side only.
"We compare Euro pallets (EP), confirmed entries only." In the sheet, a cell counts when it reads as confirmed (orange, no colour, or any colour outside the standard palette); the standard yellow (receipt missing) and red (discrepancy) cells do not, and an "opening stock" line sets the balance on its day. To find a missing entry, open the partner or truck in Balances and read its history. Compare another file starts again.
Export
More (⋯), Export opens Export pallets: "Download a file for Excel."
| File | What is in it | Options |
|---|---|---|
| Calendar (Excel) | "Laid out like your sheet: trucks in rows, days in columns, status colours. This file can be imported back." | From and To. Longer than a month: each month goes to its own sheet. Include test data. |
| Balances (Excel) | "Two sheets, partners and trucks, a column per pallet type." | Balance on a day. |
| All entries (CSV) | "One row per entry, semicolon separated. Opens in Excel." | From and To, Include test data. |
The period opens with the range the calendar shows. The from day must come before the to day, and a range can be at most one year. Download saves the file. The calendar file leaves out cancelled entries and hidden trucks. The column headings inside the files are in Polish (for example Kontrahent, Saldo EP, Auta), whatever the app language.
Good to know
- A balance changes as soon as an entry is confirmed, deleted or corrected; there is nothing to recalculate.
- Test entries never count in balances, in exports (unless you tick Include test data) or in the comparison. Sample data is different: while it is loaded it counts like real entries, and an admin removes it with Remove sample data (see Pallet settings and tests).
- A settlement and an opening stock are ordinary Stock correction entries. To undo one, open it in the calendar and delete it.
- An entry without a partner changes no partner balance, and an entry without a truck changes no truck stock. Quanty shows both as warnings instead of hiding them.
