Calendar

The Calendar holds your events: meetings, calls and anything else with a time. Invite colleagues and guests from outside your organization, add a Quanty call or a Teams meeting, and everyone invited gets the invitation by e-mail with a calendar file. Calls scheduled in a chat conversation are in the Calendar too (see Scheduled calls).

This page is about your events. To place the rows of a table on a calendar by a date column, see Calendar view.

Before you start

  • The Calendar is part of every plan.
  • Everyone in the organization can open it. Viewers see their events and answer invitations, but cannot create events: "Viewers see the calendar and answer invitations, but cannot create events."
  • While your organization is read-only, so is the Calendar: you see your events, and nothing can be created or changed.
  • An event is seen only by its organizer and the people invited to it. Nobody else sees it, administrators included. Colleagues can see when you are busy, never what you do (see See when colleagues are busy).
  • A Quanty call in an event is an ordinary Quanty call: the limits of your plan apply (see Limits per plan).

Open the Calendar

Calendar sits right below Chat in the left panel. It is there wherever you are: in Quanty's sidebar, in the TMS rail, inside a project and in an AI Secretary. Opening it from the TMS keeps the TMS rail on the left. A link to an event, in a notification or an e-mail, opens the Calendar with the event's details.

PartWhat it holds
HeaderToday, the arrows to the previous and next period, the period on screen (for example "November 2026"), Keyboard shortcuts, and the views Day, Week, Month and Agenda.
Left columnCreate, a small month to jump to a date (today is marked, the period on screen tinted), Meet with... and My calendars.
The calendarYour events in the view you picked.

When the window is narrow, for example with the Chat panel open, the left column folds away: Show calendars brings it back, and Create moves into the header. On a phone the Calendar opens in Agenda.

Views

ViewWhat it shows
DayOne day hour by hour, with an All day row on top. A line marks the time now.
WeekMonday to Sunday, the same way.
MonthWhole weeks of the month. A timed event shows its start time and title; an all-day or longer event runs as a bar. A day with more events than fit shows "+2 more", which opens that day. Click a day's number to open the day.
AgendaWhat is coming, day by day, 30 days at a time. Show 30 more days adds the next 30.

Weeks start on Monday and times are 24 h. Day and Week open at 08:00, or around the current time. Events that overlap sit side by side. The arrows step by a day, a week or a month; in Agenda by a month.

The keys work on the Calendar page while you are not typing in a field.

Create an event

  • Create in the left column opens the editor for a new event. The arrow next to it (More ways to create) offers Event, Quanty call and Teams meeting: the editor opens with that kind of call already picked.
  • Click or drag in the calendar. In Day and Week, click an empty slot, or drag over several in steps of 15 minutes. In the All day row, click or drag for an all-day event. In Month, click an empty part of a day (09:00 to 10:00). A small New event window opens with the title, the time, a Quanty call switch, More options and Save. Enter saves and Escape closes it. More options opens the full editor with what you typed.
  • Press C.

A new event starts at the next quarter hour, at least 10 minutes from now, and lasts 30 minutes. The colleagues you picked under Meet with... are invited when you create the event with Create or More options.

The editor

The editor opens in the middle of the page. Save (or Ctrl+Enter, ⌘Enter on a Mac) saves it; a field that needs a fix says why.

FieldWhat it doesExample
TitleUp to 200 characters, without web addresses (the title is the subject of the e-mails): "Remove the web address from the title".Weekly planning with DHL
Start and EndThe date and time of each (24 h); the length is shown next to them. An event lasts from 5 minutes to 31 days and starts within two years of today. A new event that does not repeat cannot start in the past: "This time has already passed".12.11.2026, 10:00 to 10:45
All dayDates only, one day or several. An all-day event can start today.
Time zoneYour browser's time zone, unless you pick another. With another zone, the editor also shows the time in yours, for example "10:00 to 10:45 in your time zone (Europe/Warsaw)".Europe/London
RepeatDoes not repeat, or a repeat (see Repeats).Every week on Monday
CallNo call, Quanty call (Video or Audio), Teams meeting, or Google Meet, shown as "Coming soon" (see Calls in events).Quanty call, Video
People"Colleagues from your organization": search and pick them.Ewa Księgowa, Piotr Spedytor
Guests from outside"Each guest gets an e-mail with the invitation and buttons to answer". Type or paste addresses and click Add. Each guest gets Name (optional) and the language of their e-mail (English, Polski or Deutsch). A colleague's address becomes that colleague: "Already in your organization, added to the people: ewa@example.com".anna@dhl.com
Location"A room, an address or a link". Up to 300 characters.Sala 2, Wrocław
Description"Agenda, notes, anything to prepare". Up to 4,000 characters; web addresses in it can be clicked.Bring the November volumes.
Share the description with guests from outsideShown when you invite guests from outside. "Off: only people of your organization see it". Off by default.Off
ReminderNo reminder, 5 min before, 10 min before (the default), 15 min before, 30 min before, 1 hour before or 1 day before.10 min before
ColourThe event's colour in the calendar: violet (the default), blue, teal, green, amber, orange, rose or slate.Blue
Send invitations to colleagues by e-mailShown when you invite colleagues; when you edit an event it reads Send the change to colleagues by e-mail. "Colleagues get an e-mail with a calendar file". On by default. The switch is about colleagues only: "Guests from outside always get an e-mail, even with this off: it carries their link and the answer buttons".On

With guests from outside and no colleagues, there is no switch, only the note "Guests from outside get an e-mail with their link and the answer buttons". An event takes up to 50 people and guests together, at most 20 of them guests from outside. With a Quanty call and guests, the editor adds: "Up to 4 guests from outside can be in a Quanty call at the same time." A location that is a web address goes to guests from outside only together with the description.

Repeats

OptionThe event repeats
Every dayDaily.
Every weekday (Monday to Friday)Monday to Friday. Offered only when the event starts on a day from Monday to Friday.
Every week on MondayWeekly, on the days you pick under Repeat on. The day the event starts is always one of them: it stays selected ("Saturday stays on: the event starts on that day"), and when you move the start to another day, that day is added.
Every month on day 12On the same day of the month. Months without that day, a 31st for example, are skipped.
Every year on 12 NovemberOn the same date each year; a 29 February repeats only in leap years.

Ends sets when the repeat stops: Never, On a date (Last day of the repeat) or After a number of times, up to 730. The editor sums the repeat up in words, and the event's details show the same words.

  • Times follow the event's time zone through summer and winter time: a meeting at 09:00 stays at 09:00.
  • The series changes as a whole. Edit changes every date of the series. Dragging a repeating event opens the editor instead: "Repeating events are changed in the editor".
  • One date can be deleted. Delete on a repeating event asks Which events: This event removes only that date, All events the whole series. Everyone invited gets a cancellation by e-mail; for one date, it removes only that date from their calendar.
  • An answer is for the whole series: "For every event of the series".

Invite people

Colleagues

Pick them under People. The event appears in their calendar at once, and the bell tells them about the invitation, every change and a cancellation. With Send invitations to colleagues by e-mail on, they also get an e-mail, "Invitation:" with the title and the time, a calendar file and Open in the calendar. For a Teams meeting, the e-mail also carries the Teams link.

When you change the title, the time, the repeat, the place or the call, the change goes out by e-mail ("Updated invitation:"): to guests from outside always, and to colleagues while Send the change to colleagues by e-mail is on. At the bottom of the editor, a line says who gets it: "Everyone invited gets the change by e-mail" or "Guests from outside get the change by e-mail". A change of the description, the colour or the reminder alone sends no e-mail.

Guests from outside

A guest from outside always gets an e-mail, whatever the switch for colleagues says, in the language you picked for them, "Invitation:" with the title and the time and a calendar file attached. The rest depends on the event:

The event hasThe guest's e-mail has
A Quanty callJoin the call: the guest's personal link to join from the browser, without a Quanty account.
A Teams meetingJoin the Teams meeting.
No callNo join link.

Every invitation also asks "Will you attend?" with Yes, Maybe and No. Each opens a page in the browser where the guest clicks the answer once more to send it ("Click your answer to send it"), so a mail program that opens links by itself answers nothing. The guest can change the answer there later. You see it on the event, and the bell tells you that someone answered. The answer links work until a day after the event ends (for a repeat, after its last date).

The e-mail shows the title, the time, the place and your name as the organizer. The description goes to guests only when you turn on Share the description with guests from outside.

  • The personal link of a Quanty call opens 15 minutes before the start and works until 60 minutes after the end; for a repeating event, from 15 minutes before the first date until 60 minutes after the last. It takes up to 3 requests to join per date. A guest who opens it waits until someone in the call lets them in (see What guests see and can do). When you typed the guest's name, the call page fills it in for them.
  • Removing a guest from the event, or deleting the event, stops their links. On a cancellation the guest gets "Cancelled:" with a file that removes the event from their calendar, and the answer page says "This event was cancelled. There is nothing to answer."
  • Only through an event. An invitation to an event is the only way people without a Quanty account join a Quanty call: links cannot be made inside a call.

The newest e-mail has the working links

Each update e-mail carries new personal links, for joining and for answering, and the links from an earlier e-mail stop working: "This invitation link does not work any more". Ask guests to use the latest e-mail.

Answers from the mail program's own buttons do not arrive

Outlook, Gmail and other mail programs show their own Accept and Decline buttons for the attached calendar file. Those answers do not reach Quanty. Ask guests to answer with Yes, Maybe or No in the e-mail itself.

When e-mails go out

  • Invitations and cancellations go out right away. For a Teams meeting, the invitations wait until the meeting is ready, so they carry its link (see Teams meeting).
  • Updates go out about a minute after a change, with the event as it is then. When you make several changes in a row, people get one update e-mail, not one per change.
  • Guests from outside always get their invitation, every change and the cancellation. The switch in the editor is about colleagues only.
  • Daily limits. To keep invitations from being used for spam, there are daily limits on e-mails to outside addresses: for your organization as a whole, and for each guest address, which gets at most 20 invitation e-mails a day from your organization. An e-mail over a limit is not sent. The limit for one address never holds back a cancellation, and e-mails to colleagues are not limited.

Answers

  • Your answer. In the details of an event you are invited to, Going? has Yes, Maybe and No. Your answer shows at once. The organizer does not answer their own event.
  • Everyone's answers. The details list the organizer, then everyone invited with their answer (Yes, Maybe, No or Awaiting), and a summary such as "3 yes, 1 maybe". Guests are marked "Guest from outside". A guest invited by address only is listed under the address for the organizer, and under a shortened address such as a***@dhl.com for everyone else.
  • In the calendar. Events you have not answered yet, or answered Maybe, are drawn as an outline. Declined events are hidden; turn on Declined events under My calendars to show them, dimmed and struck through.

Calls in events

Quanty call

Pick Quanty call under Call, with Video or Audio.

  • Its own conversation. The event gets a conversation in Chat, named after the event, for the organizer and the colleagues invited. It appears among your direct messages, with a calendar icon, once it has a message or a call. Its people follow the event: "The people of this event. The organizer adds and removes them in the Calendar." Only they see it; administrators do not.
  • Open chat in the event's More opens the conversation, and Open event in the conversation's ⋯ menu opens the event. You cannot leave the conversation: Close conversation takes it off your list.
  • The call. Join starts the call or joins it (see Join). Starting it rings nobody, because everyone invited got the reminder. In the call, Add rings the people of the event; to bring in someone else, add them to the event.
  • Guests from outside join with the personal link from their e-mail and wait until someone in the call lets them in (see Let guests in).
  • The call counts like any call: call hours, people per call and recording work as on Calls and recordings.
  • When you pick another kind of call, or delete the event, the conversation is archived and the guests' links stop working.

Teams meeting

Pick Teams meeting under Call, or Create and then Teams meeting. Quanty creates the meeting in Microsoft Teams with the event's title and time, changes it when you change the title or the time, and deletes it when you delete the event or pick another kind of call.

  1. The first time, the editor shows Connect Microsoft Teams: "Sign in once with your Microsoft account, then Quanty creates the meeting for you".
  2. Sign in with your work or school Microsoft account and allow Quanty.
  3. You come back to the Calendar. "Microsoft Teams is connected" ("Your events can now have a Teams meeting.") confirms it, and the editor opens again with what you had typed. From then on it says "Connected as anna@example.com", and saving the event creates the meeting.

If the connection did not work, you also come back to the Calendar with your event in the editor, and "Microsoft Teams was not connected" says why:

What happenedWhat the Calendar says
You cancelled the Microsoft sign-in."The Microsoft sign-in was cancelled. Try again when you are ready."
Your company's IT must approve Quanty once (see below)."Your Microsoft 365 administrator has to allow Quanty first. Ask them, then connect again."
You signed in with a personal Microsoft account, which cannot make Teams meetings."Personal Microsoft accounts (outlook.com, hotmail, live) cannot make Teams meetings. Sign in with your work account."
You did not accept every permission Microsoft asked for."Quanty did not get the permission to create meetings. Connect again and accept every permission."
Your role cannot connect Teams, for example as a Viewer."Your role in this organization cannot connect Teams. Ask an admin for edit access."
Your organization's plan is not active."Your organization's plan is not active, so Teams cannot be connected now."
Quanty's connection to Microsoft is not set up yet."Teams is not set up for Quanty yet."
Microsoft did not finish the sign-in."Microsoft did not finish the sign-in. Try again in a moment."
  • Your own connection. Each organizer connects their own Microsoft account; colleagues do not share it. Quanty may create, change and delete your online meetings, and nothing else: it has no access to your Microsoft calendar, mail or chats.
  • The meeting is made in the background. Saving does not wait for Microsoft: the event is saved at once, and its details say "The Teams meeting is being set up" until the meeting is ready; then Join appears. If it is time to join while the meeting is still being made, Day, Week and Agenda show "Creating the Teams meeting" in place of Join. If Microsoft does not answer, Quanty tries again by itself a few times. If the meeting still cannot be made, the details say "The Teams meeting could not be created", with the reason and Try again for the organizer, and the invitations go out without a Teams link. Once Try again works, everyone who already got the invitation gets an update with the link.
  • Guests from outside wait in the lobby. With Teams meeting picked, the editor says: "People from outside your organization wait in the Teams lobby until someone lets them in. A Teams link that was already sent cannot be taken back." A guest you remove from the event still has the link, but waits in the lobby.
  • Join opens the meeting in Teams, in a new tab. Colleagues and guests from outside get the Teams link in their e-mail.
  • When your Microsoft sign-in expires, the editor says, for example, "The Microsoft sign-in of anna@example.com has expired. Connect again to create the meeting." with Reconnect.
  • Disconnect. While a Microsoft account is connected, the Teams row of the editor has Disconnect. It asks "Disconnect Microsoft Teams?": "Quanty stops creating and updating Teams meetings for you. Meetings made already keep their links. You can connect again at any time." Disconnect confirms, Keep it goes back.

What Teams meetings need:

  • Quanty's connection to Microsoft. Until it is set up for your organization, the option reads "Teams is not set up for Quanty yet" and cannot be picked.
  • A work or school Microsoft account with a Teams licence (Microsoft 365 Business Basic or higher). Personal Microsoft accounts (Outlook.com, Hotmail, Live) cannot hold Teams meetings, so they cannot be connected.
  • Your IT admin's approval, in many companies. Some companies let only their administrator approve new apps; Microsoft then asks for an admin's approval when you sign in, and the Calendar says "Your Microsoft 365 administrator has to allow Quanty first." Your Microsoft administrator approves Quanty once for the whole company, in the Microsoft Entra admin center: Enterprise applications, Quanty, Permissions, Grant admin consent.

Google Meet

Google Meet is in the list as "Coming soon" and cannot be picked yet.

Join

Join is on the event in Day and Week (a camera icon on short events), in Agenda, in the event's details and in the reminder. It opens 10 minutes before the start and stays until the end; before that the details say "Join opens at 13:50".

  • Quanty call. Join opens the event's conversation in the Chat panel and joins its call. While you are in it, the details say "You're in the call".
  • Teams meeting. Join opens the meeting in Teams, in a new tab.

Reminders

At the time set under Reminder (10 minutes before by default), Quanty reminds the organizer and the invited colleagues who did not decline:

  • a notification in the bell, which opens the event;
  • while Quanty is open, a pop-up with the title, "Starts at 14:00", Join and Open. In Focus mode the pop-up stays quiet.

Each date of an event reminds you once: a repeating event reminds before every date, and a moved event reminds again before its new start. A call scheduled in a chat conversation is in the Calendar too, and still reminds you only once (see Scheduled calls). Guests from outside get no reminder from Quanty.

See when colleagues are busy

Meet with... in the left column finds a colleague ("Search for people"). Their busy time then shows in Day and Week: a thin strip in their colour at the right edge of each day, over a light shading wherever anyone you picked is busy. Point at a strip to see who and when, for example "Marek Wiśniewski: busy, 11:30 to 13:00".

  • "You see when they are busy, never what they do." The titles, places and people of their events are never shown. Your colleagues see your busy time the same way.
  • Up to 10 colleagues at a time. They are listed under My calendars, each with a colour; the x next to a name removes them.
  • Declined and cancelled events count as free time; all-day events count as busy.
  • Create and More options invite the colleagues you picked to the new event.
  • Your picks are kept in this browser.

Move and resize

As the organizer, you change an event straight in the calendar:

  • Move. Drag it to another time or day, in Day, Week or Month and in the All day row. It moves at once; if the change cannot be saved, it goes back: "The event was not moved".
  • Resize. In Day and Week, drag its bottom edge. Times snap to 15 minutes, and an event keeps at least 15 minutes this way.
  • Escape cancels a drag. Repeating events open the editor instead, and events you are only invited to cannot be moved.

A move is a change like any other: everyone who got an invitation by e-mail gets the update.

Event details

Click an event for its details: the title, the time with the repeat in words, the call with Join, the place, the description, the organizer and the people with their answers, the reminder and your answer. When the event was made in another time zone, that zone's time is shown too, for example "London: 13:00 to 14:00".

Good to know

  • Times are shown in your browser's time zone.
  • Cancelled events disappear from everyone's calendar.
  • Calls cost no credits; they use call hours like any call (see Calls and recordings).
  • Event conversations are encrypted like the rest of Chat, with your organization's own key on the server (see Chat).
