Filtering a board

A Kanban board can be narrowed in three ways, and they differ in who sees the result. The quick filters above the lanes are yours alone and stay on your device. The Filter in the header is saved on the board, so everyone who opens it sees the same cards. Find cards looks for text on the cards already on screen.

Before you start

  • Everyone who can open the board can use the quick filters and Find cards.
  • Changing the saved filter needs edit rights on the table (members and admins). Viewers see the saved filter at work but cannot change it.
  • Describe what you want to see uses AI and is available when your organization can spend AI credits (see Billing and credits). Without it, the row is shown disabled and explains why when you point at it.

Quick filters

The bar under the board header: "Only you see these quick filters; they stay on this device."

The quick filters on a board that tracks work.
A board that tracks work items: the faces of three people, Only my items, Recently updated, Type, Priority, Labels, Blocked, Flagged, Overdue and Due soon above the lanes Do zrobienia, W toku and Gotowe
FilterShows
FacesClick a person's face to see only the cards assigned to them ("Show items assigned to Piotr Spedytor"). More people lists the rest.
Only my itemsThe cards assigned to you.
Recently updated"Changed in the last 7 days".
TypeCards of the picked types (boards that track work).
PriorityCards of the picked priorities (boards that track work).
LabelsCards with the picked labels (boards that track work).
BlockedCards waiting for another card that is not done.
FlaggedCards with a flag.
OverdueCards whose due date has passed and that are not done. A finished card is never overdue.
Due soon"Due in the next 7 days, not done".

The faces come from the board's person column (the one chosen under Avatars in Customize cards). Quick filters work together: picking Flagged and Due soon shows the cards that are both. Clear resets the bar. While filters hide cards, the board says how many, for example "4 cards hidden by filters", with Clear filters next to it.

The saved filter

Filter in the header opens the conditions saved on the board: "Saved on the board: everyone who opens it sees these conditions."

A saved filter with two conditions.
The Filter panel of a board: Where Priorytet is any of Wysoki and Najwyższy, and Termin is within the next 30 days, with Add condition, Add condition group and the Describe what you want to see row
  1. Click Filter. An empty filter says "No filter conditions are applied".
  2. Click Add condition. Each condition reads Where, a field, an operator and a value.
  3. Pick the field, the operator and the value. The cards change as you edit; there is no Save button.
  4. Add more conditions, joined with and or or, or Add condition group for a group with its own and / or.
  5. Clear all removes every condition.

The foot of the panel counts what is left, for example "3 of 10 cards match", and the number next to Filter in the header shows how many conditions are set. A condition still missing its value stays in the panel but filters nothing. A condition on a column that was deleted shows "This field no longer exists".

The saved filter runs on the server over the whole row, so it can use any column of the table, not only the fields shown on cards.

Operators by field type

Multi select, labelshas any of, has all of, has none of, is empty, is not empty

Dates that move with the clock

A date condition compares with today, tomorrow, yesterday, an exact date ("Pick a date") or a number of days from today ("in 3 days", "3 days ago"). Because the comparison happens when the board is opened, a filter saved on Monday as "due before today" still means overdue on Friday.

is within takes a window: today, tomorrow, yesterday, this week, last week, next week, this month, last month, next month, the past 7 days, the next 7 days, the past 30 days, the next 30 days, or Custom number of days (Past or Next, up to 365 days).

Describe the filter in words

At the top of the panel, type into Describe what you want to see and press Enter (or click the arrow, Build filter), for example "high priority work due this month that is not done". The description can be up to 1,000 characters.

Quanty turns it into ordinary conditions on the board's real columns. They appear in the panel and apply like conditions you added by hand, so check them, change them or remove them. If the description cannot be turned into conditions, the panel says "Couldn't turn that into a filter. Try describing it differently."

The AI filter only proposes conditions

Describing a filter never moves cards, changes lanes or builds a board. It only fills the filter panel, where you see every condition it chose.

Find cards

Find cards… (the magnifier, or Ctrl+F / ⌘F) looks for text on the cards already loaded: titles and the fields shown on cards. It does not ask the server and changes nothing for anyone else. Press Escape to close it.

Good to know

  • The saved filter is shared. Changing it changes the board for everyone. To look at the board differently for yourself, use the quick filters.
  • Quick filters stay on the device. On another computer or browser you start with an empty bar.
  • Limits. A saved filter holds at most 20 conditions ("A filter holds at most 20 conditions"), flat or in one level of groups. A list of values holds up to 50 values.
  • The hierarchy ignores filters. Hierarchy shows every work item of the table, because the tree is the whole plan.
  • Shared links show the saved filter. A shared board shows the cards that match the saved filter, without the filter controls.
  • Kanban boards: lanes, cards and the card menu.
  • Work items: the types, priorities, labels and due dates the quick filters read.
  • The grid: filtering the table itself, saved for you.
