Members and invitations
Quanty is invite-only: people join an organization when an admin invites them by e-mail. The Members tab of the organization settings lists who is in, who is invited and with which role, and holds Support access, where you see if Quanty staff are helping in your organization.
Before you start
- Only admins see the Members tab, invite people, change roles and remove members (see Organizations and roles).
- Every person in the organization, and every pending invitation, takes a seat of your plan.
The Members tab
| Column | What it shows |
|---|---|
| Member | The name; your own row says "(You)". |
| Email Address | The address they sign in with. |
| Role | Admin, Member or Viewer, as a list you can change. |
| TMS modules | With the TMS add-on: which TMS modules a member may change (see Who can do what). |
| (action) | Remove, or Only admin on the last admin. |
Invite people
- Click + Invite by email under Organization Invitations.
- Fill in Add Members and click Send Invite: "Invitation sent successfully to anna@twojafirma.pl".
| Field | What it means | Example |
|---|---|---|
| Email Address | The address the person will sign in with. They do not need a Quanty account yet. | anna@twojafirma.pl |
| Role | Member (the default), Admin or Viewer. | Member |
| Custom Message (Optional) | Up to 500 characters. Empty: "Welcome to Przykładowa Spedycja! We're excited to have you join our team." |
The invitation e-mail carries a link to accept it. An invitation is valid for 7 days.
Invitations
Organization Invitations lists each address with its status: Pending, Active (accepted), Rejected, Cancelled or Inactive. A pending invitation has Resend (valid for 7 more days) and Cancel.
Accepting an invitation
The invited person opens the link and signs in or signs up with the invited address (an invitation is what lets an address sign up at all), accepts the terms if they are new, and lands in the organization. An expired link says: "This invitation has expired. Please contact the organization administrator for a new invitation." Signed in with another address, the link says it was meant for someone else. See Getting started.
Seats
"Occupied seats (active members + pending invitations) out of the plan limit." The header and the Budget & limits tab show them, for example "3/10 seats". The plans include 2 (Silver), 3 (Gold) or 10 (Platinum) seats (see Plans and billing).
When all seats are taken, inviting stops: "All 3 seats are in use (3 occupied, including pending invitations). Remove a member, or change this organization plan in Billing." Admins get a notification "Organization seat limit reached". Cancelling a pending invitation frees its seat. Quanty staff with support access never take a seat.
Change a role
- Pick the new role in the member's Role list.
- Confirm: "Change anna@twojafirma.pl from member to admin?" and Confirm.
The change applies at once. The last admin cannot be changed: "This is the only admin. Promote somebody else to admin first."
Remove a member, or leave
Click Remove on the member's row.
"Piotr Spedytor loses access to Przykładowa Spedycja. Nothing they made here is deleted."
- Their files and data go to: the person who takes over. Quanty suggests one (the billing contact if they are an admin, otherwise the longest-standing admin); you can pick any admin or member, never a viewer.
- "What moves: 1 file, 2 folders." The things that can move are files, folders, projects, tables, forms, automations, share links, documents, connections, agents, channels, recordings, and in the TMS transport orders, quotes and clients.
- "Private AI chats and direct messages are not passed on." Files from private conversations, and mailbox logins, do not move either.
- What stops: their private forwarding address and mailboxes, their SharePoint connection, links to their folders and files, and automations that depended on them, which are paused.
Click Remove: "Piotr Spedytor was removed", "The files and data of Piotr Spedytor now belong to Kasia Próbna." When nobody can take over: "Nobody here can take over their things yet. Add an admin first."
Leave organization (on General) works the same way for yourself: "Your files and data here go to Kasia Próbna", chosen by Quanty. The last admin cannot leave.
Support access
"Quanty staff can be given temporary access to help set up your organization. Anyone who currently has it is listed here, with the reason and when it ends."
| Column | What it shows |
|---|---|
| Name | Quanty support. |
| Reason | Why they have access. |
| Granted | Since when. |
| Ends | When it ends by itself; access lasts at most 30 days. |
Revoke access: "Quanty support loses access to this organization immediately. You can ask for help again at any time." With nobody listed: "No Quanty staff currently has access to this organization." Support access never takes a seat.
Good to know
- Billing contact. One admin is the organization's billing contact for Stripe. When that person is removed or leaves, the person who takes over their things becomes the billing contact too.
- Your account in several organizations. Leaving one organization does not touch your account or your other organizations; deleting your account is under Settings, Account.
- Who sees whom. Members and viewers see their colleagues' names in Quanty (in chat, comments and history), not the Members tab.
