The record window
The record window shows one row of a table as a form: its title at the top, every field below with its own editor, and the conversation and history of the row underneath. It is the same window wherever you open the row from: the grid, a Kanban card, a calendar event, a timeline bar or a link someone sent you. What you change here is written straight into the table, so every view of the table shows it at once.
Before you start
- The record window is part of every plan.
- With view-only access you can read the record, its comments and its history; the editors and Delete record are not offered.
- Comments need membership of the organization; people who open a shared board through a public link cannot comment ("Only members can comment on this Kanban board.").
Open a record
| From | How |
|---|---|
| The grid | Select a cell in the row and press Space, or right-click and choose Open record. |
| A Kanban board | Click a card. |
| A calendar or timeline | Click an event or a bar. |
| A link | Open a link made with Copy link to record (grid) or Copy record URL (record window). |
The header
| Control | What it does |
|---|---|
| Previous record / Next record (the arrows) | Moves to the row above or below in the view you came from, without closing the window. |
| Table name | The table the row belongs to. |
| Copy record URL (the link) | Copies a link to this record. "Record link copied". |
| Record menu (⋯) | Print record, Add record, Copy record URL, and Delete record at the bottom. In a KSeF table it also issues the row as an invoice; in a work items table it copies the item's key. |
| Show comments / Hide comments | Shows or hides the comments column next to the fields. |
| Layout | Open as side panel, Open as centered modal or Open full screen. |
| Close (×) | Closes the window. Escape does the same. |
The three layouts
- Open as centered modal: the record in the middle of the screen, the page dimmed behind it.
- Open as side panel: the record docked on the right while the page stays usable, so clicking the next card or row simply swaps the record.
- Open full screen: the record over the whole window, with room for long text and comments side by side.
Quanty remembers the layout you picked and opens the next record the same way.
The record
Title and status
The title is the value of the table's title field (for example the order number). Click it to change it.
Under the title, a record can show a status button: on a Kanban board it is the field the board is stacked by (for example Status), and in a work items table it is the item's status. Click it to move the record to another value, which also moves its card on the board. The + next to it (Add) holds Attach file, Add field and, in work items tables, Add subtask and Link work item.
Fields
Every field of the table except sub-sheet columns is listed with its type icon and name, and its editor beside it:
| Field type | How you change it |
|---|---|
| Text, number, email, phone, URL | Type into the box. Long text gets a larger box. |
| Single choice, multiple choice | Click an option; the ticked one is the value. |
| Date | Pick a date (and a time where the field has one). |
| Checkbox, rating | Click the box or the stars. |
| Person | Pick a member who has access to the table. |
| Link to another table | Pick records of the linked table. |
| File, image | Add, open or remove files; drop files on the field. |
| AI fields | Show the AI's answer and its state while it runs. A failed cell offers Run again or Enter a value. |
| Computed fields (formula, lookup, rollup, autonumber, created and modified) | Read only: the table computes them. |
A value you change here is saved at once, through the same path as typing in the grid. Changing an AI answer saves your value with the note "Manually edited by user". A cell locked as ground truth shows "Locked as ground truth" and cannot be changed until someone unlocks it in its cell details (see Cell details, reviews and history).
Add a field
+ Add field at the bottom of the fields (or Add, Add field) adds a new column to the table, not only to this record. Pick its name and type the same way as in the grid (see Columns and AI). A basic field appears in the record right away. An AI field is created in the table and filled in there by a run: "“Customs status” was added to the table. Fields of this kind are filled in there."
Comments
Comments are the conversation about one row: questions, status updates and decisions, kept next to the data they are about.
- Click Leave a comment (or Start a conversation on a record without comments).
- Write the comment. Type
@to mention a colleague (People), a document (Documents) or another record (Tasks and records); a mentioned colleague is notified. - Attach files with the paperclip or by pasting a picture: up to 5 attachments per comment, pictures up to 5 MB, PDF files up to 20 MB and other documents up to 25 MB.
- Click Send.
On a comment you can Reply (replies stay under the comment; Show earlier replies opens older ones), Add reaction, and on your own comments Edit (the comment then says "(edited)") and delete it. A comment with replies is deleted together with them: Delete with replies (3). Comments of people who have left the organization are kept and signed "Former member".
Ask AI about a thread
Ask a question or get a summary (Ask AI about this thread) asks the AI about the comments of this record. It offers Summarize this discussion, What's been decided so far? and What are the next steps?, or your own question. The answer is "Only visible to you". It is AI work and is billed in credits like other AI answers (see Billing and credits).
Activity and history
Under the fields, Activity has three tabs:
| Tab | What it shows |
|---|---|
| All | Comments and changes together, newest first. |
| Comments | Only the comments. |
| History | Only the changes: who "created the record", who "changed Trasa" from which value to which, and when. Changes made by a run are marked AI run, and changes taken back are marked Undo. |
A record without recorded changes says "No changes recorded yet."
Print, add and delete
- Print record opens a clean page with the record's title, the table name and every field with its value, ready for your printer or for saving as PDF.
- Add record adds a new, empty row to the table and opens it.
- Delete record asks first: "The whole row is removed from the table, with its values and comments, on every board and view that shows it. Its files stay in the library. This cannot be undone." The record closes and the row disappears from every view.
Good to know
- One record, every view. A record has no copy per view: a change made from a board shows in the grid, the calendar and the timeline straight away.
- Hidden fields still show here. Hiding a column in the grid changes only your grid; the record window lists every field of the table, hidden ones included (sub-sheets stay in the grid).
- Work items. In a table you track as work items, the record window adds a column on the right with the status, details (assignee, priority, type, parent, dates, labels), subtasks and linked items (see Work items and Subtasks, blockers and links).
- Links need access. A record link opens only for people who can open the table.
- Taking back a deletion. Rows deleted from the grid or from the record window are listed in the table's Undo history for the person who deleted them, although the dialog says it cannot be undone (see The grid).
