Secretary phone numbers

The AI Secretary answers calls to a number your company owns. Quanty does not sell numbers: "Connect a number you own. Quanty answers it with its own phone gateway, so your provider needs to hand the calls over by SIP." You connect a number on the secretary's Phone tab, and you can keep the number your customers already know by forwarding it.

Before you start

  • Only organization admins add, assign, move and delete numbers.
  • A number from a VoIP provider (for example Zadarma or Telnyx), with SIP access. An ordinary mobile or landline number is forwarded to such a number (see Keep your current number).
  • "Use a dedicated number for the secretary."

Numbers this secretary answers

"Calls to these numbers go to this secretary. Numbers belong to the organization and can be moved between secretaries." A secretary can have several numbers; each number belongs to one secretary at a time.

With no number yet, the tab lists the three ways:

  • "SIP account: a number from a VoIP provider such as Zadarma or Telnyx. Quanty signs in to your account and receives its calls."
  • "SIP trunk: your provider sends the calls straight to Quanty's gateway."
  • "A mobile or landline number without SIP: forward its calls to a number from a VoIP provider (see below)."

Other numbers in the organization lists numbers that are Not assigned or "Answered by" another secretary, with Assign here. Moving a number: "Calls to this number stop reaching Front desk and go to Branch office." Unassign frees it; Delete number removes it from Quanty: "It stays yours at your provider." "Calls to this number stop reaching the secretary right away."

"These numbers start reaching the secretary once it is activated." (see Activate and pause).

Add a number

Click Add number, give its Phone number and a Name, and choose How the calls reach Quanty.

SIP account at your VoIP provider

"You give Quanty the SIP login from your provider. Quanty signs in and picks up the calls."

FieldWhat it meansExample
ProviderZadarma ("Use the SIP login from the Zadarma panel (Settings, SIP connection)."), Telnyx or Other provider; a preset fills in the server.Zadarma
SIP server, PortFrom your provider.5060
TransportUDP or TCP.UDP
SIP usernameThe SIP login from your provider.
Authentication username (optional)"Only if your provider uses a different name to sign in than the SIP username."
SIP password"Stored encrypted and never shown again."
Domain (optional)"Leave empty unless your provider asks for a specific domain."

Quanty's gateway signs in to your account and keeps the line registered. The number shows Registered, Not registered, Rejected, Connecting or Unknown; Rejected usually means a wrong username or password.

Your provider sends calls to Quanty (SIP trunk)

"You tell your provider where to send the calls. Quanty accepts them from the addresses you list."

  1. Choose Your provider sends calls to Quanty (SIP trunk) and enter the number.
  2. List the IP addresses your provider sends calls from: up to 20, none wider than a /16 range.
  3. Set your provider to send the number's calls to the SIP address the tab shows.

Calls to the number are accepted only from the addresses you listed.

Keep your current number

"Forward it to the secretary number from the phone that owns it." Pick the Secretary number and the tab shows the codes to type on that phone. Type a code like a number and press call; the network confirms on screen.

Line busy: "While someone is already on the phone."**67*<number>###67#*#67#

Every call: "For example after hours."**21*<number>###21#*#21#
Turn off all forwarding: "Back to normal in one step."##002#
  • During opening hours: "Forward when the line is busy and when nobody answers within 20 seconds. Staff still pick up first."
  • After hours: "Forward every call. Mobile networks cannot switch this on a schedule, so turn it on at closing and off at opening, or set a schedule in your office phone system."

Avoid a loop

"Do not forward the number the secretary transfers calls to. The call would come back to the secretary in a loop."

  • "Your operator bills the forwarded part of each call like an outgoing call to a mobile number. Most business plans include it."
  • "The secretary usually sees the caller number, but some networks hide it on forwarded calls. It always asks for a callback number."
  • "Landlines and office phone systems are set up by the operator or in its customer panel, not with these codes."

Good to know

  • Test before you publish. Make a test call from the Test tab, then call the number from a mobile phone.
  • One number, one secretary. A number answers for one secretary; move it with Assign here.
  • Your number stays yours. Deleting a number in Quanty changes nothing at your provider.
