The grid
Every table opens in its Spreadsheet: a grid of rows and columns that works like the spreadsheets you know. You type into cells, paste blocks from Excel, select ranges, filter and sort, and the AI and formula columns fill in next to the columns you type yourself. This page walks the grid from the toolbar to the page tabs at the bottom.
How tables, views and projects fit together is on Projects, tables and views. What each column can hold is on Column types.
Before you start
- The grid is part of every plan. Typing, pasting, filtering, sorting and formulas never cost credits. Only AI columns spend credits when they run (see Columns and AI).
- What you may do follows your access to the table. With view-only access you can look, find, filter, sort, hide fields and export; the buttons that change the table are dimmed and say "You have view-only access to this workspace".
- When your organization has no active plan, every table is read-only until an admin pays (see Billing and credits).
The page at a glance
From top to bottom:
| Part | What it holds |
|---|---|
| Breadcrumb | Where you are: Home, the workspace, folder and project (folded into … when they do not fit), and the view. |
| Toolbar | The view's name, the buttons that add rows and columns, Find, undo, Hide fields, Filter, Sort and the run controls. |
| Cell bar | The selected cell's column and row on the left and its value on the right. With nothing selected: "No cell selected" and "Select a cell to see its value". |
| The grid | The # column with row numbers, then one column per field, each header with an icon for its type. |
| Status bar | The table's size as rows × columns (for example 24 × 10), the totals of the cells you selected, the number of active filters and the matches of a search. |
| Pages | The tabs at the bottom: each page is its own set of rows and columns in the same table, and Add Page adds one. |
The rail on the left belongs to the project: its tables, their views, and the project's dashboards, presentations, forms and automations (see Projects, tables and views).
The toolbar
From left to right:
| Button | What it does |
|---|---|
| View name | The view on screen, Spreadsheet until you rename it. Click the name to rename the view. The pin next to it adds the table (or a saved spreadsheet view) to your Shortcuts. |
| Add row | Opens a small menu: Add files (rows from documents), Add empty rows (1, 10, 50 or 100) and Add formula row. |
| Add column | Adds a column at the end of the table (see Columns and AI). |
| Add formula row (Σ) | Adds a row of totals and formulas under the data (see Formulas and totals). |
| Find in sheet… | Opens the find bar. Also ⌘F on a Mac, Ctrl+F elsewhere. |
| Live dot | Green while changes made by other people arrive live (see Working together). |
| Undo and its arrow | Undoes your last change; the arrow opens Undo history (see Undo). |
| Hide fields, Filter, Sort | What this screen shows and in which order (see Hide, filter and sort). Each turns into a chip while in use, such as "Filtered by Status" or "Sorted by 2 fields". |
| Sheet alignment | Aligns the selected cells left, centre or right, or sets the default for the whole table when nothing is selected. |
| Row height | Switches between compact and comfortable rows. |
| Review | Only when a column routes rows to human review: opens the review queue with the number of rows waiting (see Cell details, reviews and history). |
| Automations (lightning) | "Run this sheet automatically: on new emails or on a schedule" (see Triggers and automations). |
| Pipeline | "See how your columns connect": the map of the table's AI and formula columns (see Columns and AI). |
| Run AI and Run options | Runs the AI columns; the arrow lets you choose columns and pages. While a run is going, Stop takes its place. |
| More actions (⋯) | Add to shortcuts, Import, Track work items and Export: CSV (.csv), Excel (.xlsx), PDF (.pdf). |
A button that cannot act right now stays visible but dimmed, and its hint says why, for example "Add a row first. There is nothing here yet" or "Nothing to run yet. Add a column with an AI prompt". Hover hints for the toolbar can be switched off in Settings, Preferences, Interface hints, Spreadsheet.
Cells
Select a cell and read it
Click a cell to select it. The cell bar above the grid shows its address (the column name and the row number, for example Trasa · 3) and its full value, which helps with long text that the cell cuts off.
Type into a cell
- Select the cell and start typing, or press Enter or F2, or double-click it.
- Type the value. In a text editor, Shift+Enter adds a new line.
- Press Enter or Tab to save and move on, or Escape to cancel.
Each column type has its own editor: a date picker with Today, a list of options for a choice column ("Find an option or type your own"), a person picker, a picker of linked records, a tick for a checkbox, stars for a rating (see Column types). Long text opens a larger editor that you can resize; it also offers Ask AI, which hands the text to the chat with the question you type.
You can also type in the cell bar: select the cell, click the value in the bar, change it and press Enter (or Apply). Typing a value that starts with = turns the whole column into a formula column (see Formulas and totals).
Cells you cannot type into
Some cells are filled for you and refuse typing: AI cells while they run, formula cells, lookups and rollups, created and modified times, autonumbers, and cells locked as ground truth. Their hint says why, for example "Computed by the server. Editing it here would be lost at the next update." To correct an AI value, use Edit value in the cell's menu or in its details (see Cell details, reviews and history). The value you type is saved with the note "Manually edited by user". Your value is replaced whenever the cell is computed again: Reprocess cell, Recompute all cells, a changed prompt or model, or Run AI and Update after one of its inputs changed. To protect a value for good, lock it as ground truth.
Copy and paste
- ⌘C / Ctrl+C copies the selected cell, or a selected range as tab-separated text that pastes cleanly into Excel or Google Sheets.
- ⌘V / Ctrl+V pastes a block copied from Quanty, Excel or Google Sheets, starting at the selected cell. The block is cut at the edge of the table: pasting never adds rows or columns.
- Cells that cannot take a value (computed, locked, hidden or still processing) are skipped: "3 read-only cells were skipped". When nothing could be pasted: "Nothing was pasted - those cells are read-only".
- A picture on the clipboard (a screenshot, "Copy image") pasted into a selected image cell is uploaded into it.
- Delete or Backspace clears the selected cells. Computed cells are left alone, so you can clear a range that mixes typed and computed columns.
Selecting
| To select | Do this |
|---|---|
| One cell | Click it, or move with the arrow keys. |
| A range | Click a cell, then Shift+click another; or hold Shift and use the arrow keys. |
| Scattered cells | ⌘+click (Mac) or Ctrl+click each cell. |
| The whole table | ⌘A / Ctrl+A with a cell selected. |
| A column | Select column in the column menu. |
| Rows | Tick the box in the row's # cell; the box in the header selects all rows. |
While you select several cells, the status bar shows Count, Sum, Avg, Min and Max of the numbers in them, so a quick sum needs no formula. Escape drops the range first, then the selected cell.
With rows ticked, a bar offers Delete selected rows. Drag a row by its handle in the # column to move it (several ticked rows move together), or use Move row up and Move row down in the row menu.
Keyboard keys
| Key | What it does |
|---|---|
| Arrow keys | Move the selection. |
| Shift + arrow keys | Grow or shrink the range. |
| Tab / Shift+Tab | Move right or left; at the end of a row, to the next row. |
| Enter | Edit a cell you can type into; on an AI or computed cell, open its details. |
| F2 | Edit the cell. |
| Space | Open the row in the record window. On a checkbox it ticks the box, and Shift+Space opens the record. |
| Delete / Backspace | Clear the selected cells. |
| ⌘C / Ctrl+C, ⌘V / Ctrl+V | Copy and paste. |
| ⌘A / Ctrl+A | Select the whole table. |
| ⌘F / Ctrl+F | Find in the table. |
| ⌘Z / Ctrl+Z | Undo your last change (not while you type in a cell). |
| Escape | Cancel the edit, then drop the range, then the selection. |
The menus
The cell menu
Right-click a cell.
| Item | What it does |
|---|---|
| Open record | Opens the row in the record window (see The record window). |
| Copy link to record | Copies a link that opens this row's record. "Record link copied". |
| View details | Opens the cell's details on the right: value, confidence, sources, review and history (see Cell details, reviews and history). |
| Edit value | Edits the cell, also an AI cell. |
| Reprocess cell | Runs the AI for this one cell again. Costs credits like any run. |
| Copy value | Copies the value. |
| Clear cell | Empties the cell. |
| Alignment and Number format | Left, centre, right or default; for number cells also 0 decimal places, 1 decimal place, 2 decimal places, Auto decimal places, Prefix, Suffix and Clear number format. |
| Create formula… | Opens the formula creator (see Formulas and totals). |
| Delete row | Deletes the row after a confirmation. |
A cell of a report column also offers Download report (DOCX) and Download report (XLSX), a cell with a generated file offers its download, and in a KSeF table a row can be issued as an invoice (see KSeF e-invoices). With a range selected, the menu shrinks to what acts on the range: alignment, number format, Copy selection and Formula from selection….
The row menu
Right-click the row number. It holds Open record, Copy link to record, Move row up, Move row down, Clear row contents and Delete row (or Delete rows for several ticked rows). Deleting asks first: "Extracted values and citations for these rows are removed. Source files stay in the library."
The column menus
A column has two menus. Right-click the header for the full menu:
| Item | What it does |
|---|---|
| Edit column | Opens the column's settings (see Columns and AI). |
| Reference in chat | Starts a chat message that points at this column. |
| Recompute all cells | Runs the column again, also completed cells: the first 10 rows, then it asks about the rest. "All cells in this column are being recomputed". |
| Duplicate column | Copies the column next to it. |
| Compare models (A/B)… | Runs the column with two models side by side (see Columns and AI). |
| Sort ascending, Sort descending, Add to sort | Sorts by this column, or adds it as a further sort. |
| Alignment | Left, centre or right for the column, or Apply alignment to all columns. |
| Lock column | Keeps the column at the left edge while you scroll. Only for you. |
| Hide column | Hides the column (see Hide, filter and sort). |
| Make ghost | Keeps the column's values inside Quanty (see Quanty Ghost). |
| Delete column | Deletes the column after a confirmation. |
A plain click on the header opens a shorter menu: Column settings, Filter (see Column filters), Sort, Lock column, Select column and Alignment.
Drag a header to move the column, and drag its edge to change its width. A small badge on a header says web data for a column that reads the internet and citations on for one that cites its sources.
Find in the table
Find in sheet… (or ⌘F / Ctrl+F) opens the find bar over the grid.
- Type what you are looking for. Matching cells are marked and the bar counts them ("1/2"); the status bar says "2 matches in 2 rows".
- Move between matches with Enter and Shift+Enter, or the arrows.
- Narrow it down with Match case, Whole word and Regular expression, limit it to one column instead of All columns, or switch on Only matching rows to hide the other rows.
- Escape closes the bar.
When other pages of the table also contain the text, the bar lists them under "Also in:", and Go to opens that page. Column names are searched too, so Find works even on an empty table.
Hide, filter and sort
The three buttons in the middle of the toolbar change what you see, not the table itself. On the table's own Spreadsheet they are saved for you on every device and nobody else sees them ("Saved for you on every device. Nobody else sees it.").
Hide fields
Hide fields lists every column with a switch. Find a field searches the list, Hide all and Show all do what they say, and you can drag columns to reorder them (with edit access). At least one field has to stay visible. Hide column in a column's menu does the same for one column.
Filter
- Click Filter and pick a field.
- Choose the operator and the value. Text offers contains, does not contain, is, is not, is empty and is not empty; numbers
=,≠,<,≤,>,≥; dates is before, is on or before, is after, is on or after and is within; single choice is any of and is none of; multiple choice has any of, has none of and has all of; checkboxes is checked and is not checked. - Add condition adds another, joined by and or or; Add condition group nests a group.
- The foot of the panel counts what is left: "18 of 24 records match". Clear all removes every condition.
A filter holds at most 20 conditions.
Column filters
Filter in a column's menu opens an Excel-style filter for that one column: tick the values to keep (Select all, Clear, Only next to a value), search the values, or use Contains text. Number columns with many values offer a range (Between, From, To); date columns offer Quick ranges: Today, Last 7 days, This month, This year. Also keep empty cells keeps blanks. A filtered column shows a funnel on its header, the status bar shows a pill such as "2 filters" with Clear all, and the Filter panel lists them under Column filters. They apply together with the conditions above.
Sort
Sort sorts by up to 3 fields. Pick a field, then the direction (A → Z or Z → A for text, 1 → 9 or 9 → 1 for numbers, Earliest → latest or Latest → earliest for dates); Add another sort adds the next one, Clear sort removes them all.
Spreadsheet views
A saved spreadsheet view (one you added with Add view, see Projects, tables and views) carries its own hidden fields, filters and sort for everyone. When you change them there, the change is yours alone until you click Save in view: "You are seeing this view with your own changes. They are kept for you only; save them to change the view for everyone." Reset to view drops your changes. Saving needs edit access to the table; a view that was shared with you on its own keeps your changes to yourself.
Rows
Add rows
- Add row, Add files opens Add row: drop files or browse files, or pick them from Files. One row is made from the files you add, and several files make one row with a file set. In the dialog you can switch to Into the cell to add the files to the selected file cell instead.
- Add row, Add empty rows adds 1, 10, 50 or 100 empty rows at the end.
- Drop files on the grid: "Drop files to add rows". Dropped on a file cell: "Drop to add to this cell".
- An empty table shows Add your documents with Add a blank row.
When the table has AI columns, new rows start AI work right away. Adding more than 10 rows at once asks first: Add 40 rows? shows the number of rows, AI columns and cells to compute, and Add them all confirms. Every Run AI processes 10 rows and then asks whether to run the rest (see Columns and AI).
Delete rows
Delete row in the cell or row menu, or tick rows and use Delete selected rows. The values and citations go; the source files stay in Files. You can undo a deletion right after (see Undo).
Pages
A table can hold several pages, the tabs at the bottom of the grid. Each page has its own rows and its own columns, so one table can keep, for example, orders and their costs side by side. A new table starts with one page.
- Add Page adds a page.
- Each tab's menu (Page actions, the ⋯ on the tab) holds Rename, Duplicate and Delete. A duplicate is named with "(copy)". Drag a tab to change the order of the pages.
- Delete asks first: "This page and its rows (24) are removed from the table. Other pages are untouched." The last page cannot be deleted.
- Drag a tab's edge to change its width; double-click it to fit the name.
- A page where AI is running shows "AI is running on this page".
Undo
Undo in the toolbar, or ⌘Z / Ctrl+Z, takes back your last change to this table: edited, cleared or formatted cells, added, deleted or moved rows, added, changed, renamed or deleted columns, and changes made on a board or calendar of the table. The toast says what was undone, for example "Undone: Edited 3 cells".
The arrow next to it opens Undo history: "Your recent changes". Only your own changes are listed, newest first. Click a step to go back to before it: Undo this step, or "Undo this and 2 newer steps".
- Quanty keeps your last 100 changes per table, for up to 30 days.
- A change that someone else has changed since cannot be undone: "1 change could not be undone because the data has changed since."
- Undo never runs AI again: a restored value is restored as it was.
Working together
Several people can work in the same table at once.
- The green dot next to undo reads Live: "Changes other people make show up here as they happen." Reconnecting means your changes still save and others' appear once the connection is back; Live updates off means reload to see others' changes.
- The faces next to it are People on this sheet. A coloured frame marks the cell someone is editing ("Anna is editing"); click a face to go to that person's cell.
- If someone changes the cell you are editing, Quanty holds your value and says so ("Anna changed this cell"): save to keep yours, or press Escape to take theirs.
Import and export
- More actions, Import adds the worksheets of a CSV, Excel or JSON file to this table as new pages, after the last tab; it does not add rows to an existing page (see Projects, tables and views).
- More actions, Export downloads the table as CSV (.csv), Excel (.xlsx) or PDF (.pdf): "Preparing your export…", then the file downloads by itself. Ghost columns are left out when your organization blocks exports, and the menu says "Ghost columns are left out" (see Quanty Ghost).
Track work items turns the table into a tracker with keys, types, priorities and statuses (see Work items).
Good to know
- Two tab strips. The views of a table (Spreadsheet, Kanban, Calendar...) are listed in the project rail; the pages are the tabs at the bottom. A view shows the same rows in another shape; a page holds other rows.
- Hidden is not deleted. Hiding a column changes only your screen: the column is still there for everyone else and AI columns still read it. To keep a column's values inside Quanty, make it ghost.
- The status bar counts the page.
24 × 10is the rows and columns of the page on screen. - Links to a row. Copy link to record gives a link that opens the record window for anyone with access to the table.
