Google Sheets

A Google Sheets sync moves rows between one tab of a Google spreadsheet and one Quanty table, in one direction: an import pulls new Google rows into the table, an export writes the table into the Google tab. "Imports dedupe and land as completed cells, exports snapshot the grid. Every run is journaled and reversible." Open it from the Google Sheets card on the Integrations page.

Before you start

  • Members and admins create, run and change syncs; running an import also needs edit access to the destination table.
  • Quanty reads and writes your spreadsheet through its own Google service account, not your Google login. You share the spreadsheet with that address, the way you would share it with a colleague. Its address is shown on the page under Service account: "Share your Google spreadsheet with this address".
  • Running AI columns on imported rows spends credits (see Credits and usage).

The Google Sheets page

The page lists your syncs:

ColumnWhat it shows
SyncThe name.
DirectionImport · Google → Quanty or Export · Quanty → Google.
Google fileThe spreadsheet, with Open in Google Sheets.
Quanty sheetThe Quanty table.
ScheduleManual, Every 15 min, Hourly or Daily.
Last run · 7dWhen it last ran, the runs of the last 7 days and the rows imported ("+12 rows").
StatusActive or Paused.

The ⋯ of a sync holds Run now, Preview · dry run, Edit, View activity, Pause sync or Resume sync, and Delete sync: "will stop syncing. Past runs and their writes stay in the activity log."

Create a sync

  1. Click + New sync.
  2. In New Google Sheets sync:
    • Name, for example "Vendor price list".
    • Direction: Import · Google → Quanty ("New Google rows land as completed cells: deduped, attributed and undoable.") or Export · Quanty → Google ("Each run snapshots the Quanty grid into the Google tab.").
    • Google spreadsheet: paste its address or id. "Share the spreadsheet with" the service account "first", then click Check access. "Spreadsheet reachable" shows its tabs, their headers and the number of rows.
    • Key column, for an import (see The key column).
  3. Click Next: map columns (import) or Next: pick source sheet (export).
  4. In Connect to Quanty sheet:
    • Destination Quanty sheet (import) or Source Quanty sheet (export), and its page.
    • For an import, map each Google header to a column: "Map Google headers → Quanty columns." Unmapped headers are skipped.
    • Schedule.
    • Run AI columns automatically on imported rows ("uses credits per row").
    • Require approval before imported rows are visible to others.
  5. Click Activate sync, or Save as paused to run it later.

The key column

An import never adds the same row twice: "Already-imported rows are skipped: by the key column when set, otherwise by row hash." Choose as the key a column that identifies a row, such as an order number or an e-mail address. Without a key ((none · dedupe by row hash)), a row counts as new when any of its values changes.

An import only adds rows: it never changes rows already in Quanty.

Edit, preview and run

Edit opens the sync's editor: the Google side (Tab to import from or Tab to export into, First row is a header row, the key column), the Quanty side (the table, its page and the column mapping), the Schedule and the options, with Save changes. "You have unsaved changes. Runs use the last saved version."

  • Preview: "Preview runs the sync without writing anything: counts, samples and access checks only." It shows Rows scanned, Would import, Skip · existing and Skip · over cap.
  • Run now: runs it at once, whatever the schedule.

An export "overwrites the tab with a snapshot of the grid": every visible column of the chosen page. File columns are not exported.

Imported rows in the grid

"Mapped values land as completed cells attributed to this sync." A row created by a sync shows a small lightning mark at its start, "via" the sync's name. With Require approval on, imported rows wait as Awaiting approval until someone clicks Accept or Discard (see Row approval).

Sync activity

View activity (or activity on the page) opens Sync activity: every run with Started, Sync, Direction, Status and Result, and how it started (manual, schedule or test). Filter by All, Succeeded, Failed or Running, by sync, and by the last days.

Open a run to see its writes. Undo this run removes the rows that import run added. "Export snapshots can't be undone from here. Re-run after fixing the grid."

Limits

LimitValue
Rows imported per run500; the rest are counted as Skip · over cap and come with the next runs
SchedulesManual (the default), Every 15 min, Hourly, Daily
Directions per syncone; make a second sync for the other direction

Large spreadsheets

A tab with thousands of new rows comes in 500 rows per run. Set the schedule to Every 15 min for the first day, or click Run now a few times, and watch Would import in the preview go down.

Good to know

  • Deleting a sync stops it; its past runs stay in the activity log.
  • Pausing keeps the sync; Run now still works.
  • Lost access. When the spreadsheet is no longer shared with the service account, runs fail until you share it again.
