Scheduled calls

Plan a call ahead in a channel or a direct message. The conversation gets a card with the time and a Join button, the call shows under Upcoming in the Chat list, Quanty reminds the people invited 10 minutes before the start, and the people you invite get an e-mail with a calendar file. Guests from outside get a personal link to join from their browser, without a Quanty account.

Before you start

  • Anyone in the conversation can schedule a call, except Viewers: "Viewers can't schedule calls". Somebody who has not joined a channel sees "Join the conversation to schedule a call".
  • In a read-only organization nobody can: "Calls can't be scheduled while your organization is read only". Archived conversations and organizations with calls off have no Schedule a call.
  • Inviting guests from outside needs the same right as a guest link in a call (see Invite people).
  • A scheduled call is an ordinary call of the conversation: everyone in the conversation can join it, and the limits of your plan apply (see Limits per plan).

The card in the conversation

The conversation shows "Kasia Próbna scheduled a call" with a card under it:

  • the title, the day and time ("Today, 14:00 to 14:45 · 45 min · Video call") in your time zone; when the call was scheduled in another zone, that zone's time too, for example "London: 13:00";
  • the people invited, the number of guests ("2 guests") and the note;
  • how soon: "in 8 min", Now from its start to its end, Cancelled or Ended;
  • Join, from 10 minutes before the start until the end. Before that its tooltip says "Join opens at 13:50"; while you are in the call, the card says "You're in the call";
  • Add to calendar, which downloads a calendar file (.ics) with the call;
  • More, with Edit and Cancel call, for the person who scheduled the call and, in a channel, its owners and administrators.

The first person to click Join starts the call; everyone else joins it.

Upcoming in the Chat list

Upcoming in the Chat list shows the scheduled calls of the next 7 days in your conversations, and the ones you are invited to. A call that is running comes first ("Now"), then the others with "in 8 min" or the day and time ("Tomorrow, 10:00") and the conversation. Three are shown; Show all (5) opens the rest. Join appears while a call can be joined, and a click on the row opens the conversation at the card. Without scheduled calls there is no Upcoming.

The reminder

Ten minutes before the start, the people invited and the person who scheduled the call get a reminder at the top right, if they have Quanty open: "Starts in 10 min", the title, the time and the conversation, with Join and Open, or dismiss it. If Quanty is in the background and you allowed notifications, a desktop notification comes too. There is no reminder in Focus mode, and none if you are already in the call. Others in the conversation get no reminder; they see the call on its card and under Upcoming. A call moved to a new time reminds again before its new start.

E-mail invitations

When you schedule the call, the people you invited get an e-mail, "Invitation:" with the title and the time, and a calendar file attached:

  • People of your organization get Open the conversation, in the language of the person who scheduled the call. They get the e-mail only with Send calendar invitations on.
  • Guests from outside always get the e-mail, in the language picked for them, with Join the call: their personal link. The link opens 15 minutes before the start and works until 60 minutes after the end. Before that, the page says "This call has not opened yet" and when it opens, for example "The link opens at 13:45." A guest who opens it still waits until someone in the call lets them in (see What guests see and can do). Each personal link takes up to 3 requests to join.

The e-mail to guests from outside does not include the note; people of your organization find it in their e-mail and on the card.

People you add later, with Edit, get their invitation then.

Change or cancel a call

  • Edit in the card's More opens Edit the call, with the same fields. Changing the time, the duration, the title or the type sends everyone invited an update ("Everyone invited gets the change by e-mail"), "Updated invitation:" with a new calendar file, and moves the guests' links to the new time. Save changes saves.
  • Cancel call asks "Cancel this call?": "Everyone invited gets a cancellation by e-mail, and guest links stop working." Cancel call confirms, Keep it goes back. The e-mail ("Cancelled:") carries a file that removes the call from the calendar. The conversation shows "Kasia Próbna cancelled a scheduled call", and the card shows Cancelled.

An update replaces the guest's link

Each update e-mail carries a new personal link, and the link from an earlier e-mail stops working. Ask guests to use the latest e-mail.

Good to know

  • Calls themselves cost no credits; they use call hours like any call (see Calls and recordings).
  • The time zone of a call is the one of the person who scheduled it; everyone sees the time in their own zone.
  • A call that nobody joins simply shows Ended after its end time.
